Job Summary
The marketing group within the Athletics Department at UBC helps to promote the University's 26 varsity sports teams with the goal of building school pride and driving game attendance. We have several large-scale events that we promote and support during the school year along with a steady schedule of games that take place each week during the fall and spring. The Sports Marketing & Promotions Coordinator role helps to support the Athletics marketing team and provides experience with marketing activities, event coordination, community engagement, and corporate activations.
This position requires the ability to periodically work non-standard hours including evenings and weekends (e.g. attending and supporting at identified home games and strategic department events).
Organizational Status
Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience. The A&R Department has a team of approximately 150 employees and is led by a strong cross-unit management team. It services over 60,000 students through recreational programming, 26 varsity teams, and 13 competitive clubs along with thousands of members of the UBC community.
The Coordinator, Sports Marketing and Promotions reports to the Senior Manager, Event Operations and Promotions. Works closely with coaches/varsity staff and with other department facility managers/coordinators, staff and other campus stakeholders.
Work Performed
SPORTS MARKETING AND COMMUNICATIONS
Lead the planning, production, and execution of integrated marketing and communications initiatives across social media, digital, web, print, out-of-home channels, and on-site activations.
Lead the execution of approved Athletics & Recreation (A&R) integrated marketing and brand initiatives, ensuring alignment with organizational objectives and brand standards.
Provide creative direction and oversight for promotional and marketing video assets, graphics, and visual content for event promotion and engagement, working with internal designers and external contractors.
Coordinate the full design and production lifecycle of marketing materials across all units—including program guides, websites, annual reports, and in-venue assets—from briefing through final delivery.
Plan and coordinate video and photography production by developing shot lists, managing videography and photography shortlists, and overseeing external contractors to ensure timely, on-brand delivery.
Review and approve all creative content, including video, photography, graphics, and in-game jumbo screen elements, to ensure quality, consistency, and adherence to brand guidelines.
Manage social media channels, including content planning, scheduling, monitoring, and community engagement, and oversee updates to event-related and promotional content on Gothunderbirds.ca.
Develop and manage asset submission schedules for print, web, and social media deliverables to support coordinated campaign execution and on-time delivery.
Coordinate and maintain the marketing unit’s photography and video asset library, ensuring effective organization, accessibility, and usage compliance.
Contribute to marketing research and reporting, including surveys, market analysis, and the consolidation of annual performance metrics to assess the effectiveness of marketing strategies.
Coordinate initiatives that support ticketing strategy plans, working with internal stakeholders and external partners to drive attendance and engagement.
Coordinate annual Athletics events, including Homecoming, Big Block Banquet and Hall of Fame celebrations, Thunderbird Scholarship Breakfast, Academic All-Canadian Breakfast, and UBC-hosted Championship events.
PROMOTIONS AND PARTNERSHIPS
Lead the planning, coordination, and execution of in-game activations and pre- and post-game initiatives, including ticket promotions, contests, youth team visits, and fan engagement activities.
Coordinate and execute community engagement strategies and programs, including outreach to teams and community groups, and oversee the development of related collateral, signage, and giveaways.
Coordinate off-campus boothing opportunities and promotional initiatives to support brand visibility and community engagement.
Manage in-game activation execution, including coordinating logistics, leading run-of-show delivery, and supervising assistants and promotional teams during events.
Lead relationships with third-party performers and entertainment partners—including anthem singers, promotional break entertainment, the UBC Thunderbird Marching Band, and the UBC Cheer Team—coordinating schedules, logistics, and activation plans for games and special events.
Collaborate closely with technical staff, announcers, game operations, facilities, and entertainment teams to deliver a cohesive and engaging fan experience and ensure marketing and operations plans are executed seamlessly.
Lead the planning and execution of audio-visual services for regular season games and special events, including festivals and Big Block.
Coordinate in-game screen content and lighting plans in collaboration with game operations and facilities teams.
Plan, coordinate, and execute live game-day entertainment by serving as show caller via radio headset, ensuring precise timing and seamless delivery for major events (e.g., Big Block, Winter Classic), regular season games, and selected festival events.
Serve as the central point of communication during live events, calling cues to synchronize multimedia, live performances, and on-field activations.
Lead the development of detailed event scripts and cue sheets and conduct run-throughs for major games and special events.
STAFF MANAGEMENT
Responsible for the onboarding, training and management of the Sports Marketing and In-Game Promotions Assistant and the Athletics Marketing Assistant (WorkLearn position).
Responsible for the recruitment, hiring, training, management and evaluation of a small group of student staff including Game Day promotions staff and the Thunderbird Mascot.
Responsible for onboarding student staff and oversees their payroll submissions.
Ability to plan, develop, and monitor work schedules to ensure efficient use of personnel.
Provides annual training on Canva + brand guidelines to all team social media/designers as well as on going troubleshooting.
OTHER
Assists the Senior Manager with financial management of the unit including preparing and monitoring small amount of budgets for marketing and promotional events through costing sourcing and purchasing.
Manages and tracks inventory usage of promotional goods used for gated sports and other promotional activities
Manages sharing of media equipment & resources owned by the marketing department with different user teams and groups
Manages the appearances of the Thunderbird mascot with internal and external unit
Prepares identified financial reports and/or documents.
Attends meetings, staff training retreats and completes other tasks and duties as necessary.

Consequence of Error/Judgement
This position represents the Department of Athletics, the students and the University. Incorrect decisions / judgment will directly affect the Department and UBC's reputation within the community at large. Incorrect decisions would have impact on the operations of programs and reputation of the UBC Thunderbirds, UBC Athletics and Recreation and the University. The Coordinator, Sports Marketing and Promotions is expected to exercise judgment, diplomacy and tact in all interactions. Standards of customer service are essential.
Supervision Received
The Senior Manager, Event Operations and Promotions provides guidance and direction to the position, but the execution and decision making of the responsibilities are solely that of the Coordinator, Sports Marketing and Promotions. Due to the magnitude of the program, staff are empowered to execute their responsibilities and work independently.

Responsible for recruiting, interviewing, selecting, training, supervising, and evaluating the marketing assistants and student staff.
Minimum Qualifications
Diploma in Marketing. Minimum of one year of related experience, or the equivalent combination of education and experience.

• Experience supporting live events, in-game activations, and fan engagement initiatives in fast-paced environments.
• Ability to provide creative direction and feedback while working with designers, contractors, and student staff.
• Proficiency with marketing and workflow tools such as Trello, Canva, Hootsuite, Meta Business Suite, Universe, Google Analytics, and email marketing platforms (e.g., Envoke or similar).
• Sound judgment, professionalism, and attention to detail in public-facing and high-pressure settings.
• Ability to exercise judgement, tact, confidentiality and discretion when dealing with sensitive matters.
• Ability to take initiative, analyze problems, identify key information and issues, and effectively resolve.
• Ability to work effectively independently and in a team environment, and to bring energy, motivation and enthusiasm to the job.

• Ability to train and oversee a small staff of student employees.
• Proficiency with Microsoft Office (Word, Excel, and Powerpoint) is required.

• Knowledge of and a passion for sports is an asset.
• Previous involvement with sport management through volunteer or work experience is an asset.
