Purpose of Role
As a member of the regional Talent Advisory – Business Services team, the Coordinator provides analytical, technical & administrative support to the regional Talent Advisory – Business Services team.
Key Responsibilities
Absence Management:
- Update absence data in Workday, when required
- Send communications to employees and managers explaining the relevant policies and confirming entitlement if required
- Send and receive any required forms from employees, as needed (ie. Overtime)
- Create required letters or documents for certain leave types
- File documentation on employee files
- Liaise with payroll and benefits where required
- Vacation tracking to reduce carry over & pay out
- Maintain accrual and time off adjustment in Workday
Payroll Administration, Adjustments and Compliance:
- Submit pay adjustment forms in accordance with payroll deadlines to ensure departures, new hires, leaves, gradual returns, unpaid time off, and bonus payments are accurately captured and reflected in a timely manner
- Expired SIN/VISA tracking and follow up
Termination and Offboarding:
- Reviewing Workday entries and removing matrixes and committee information
- Coordinate exit interview process, as needed
- Send offboarding information to departing employees
- Digitally file exit interview notes and update exit interview data in Workday, as required
- Create termination letters based on template, if required
- Coordinate system disabling for departing employees and equipment returns
Onboarding:
- Initiate onboarding tasks
- Send Workday information tasks to new hires and ensure information is completed in the system
Personal Data Changes and Employee Files:
- Action some business processes into Workday and update data as required
- Create and file transfer letters and/or job change memos if required
- Coordinate system changes for employee business processes and changes
Performance Management:
- Initiate email notification to employees and professionals for review reminders for LSS and PSG Calgary
- Review progress reports and update regional Talent Manager
Talent Projects:
- Participate in process improvement and talent technology, as required
- Filing national policies and procedures in Imanage, as needed and as requested
- Action any system audits sent by Talent Governance & Compliance, when requested
Regional Responsibilities
- Event planning, coordination and execution, as needed
- Manage recognition and celebrations, including sending birthday and anniversary cards, baby gifts, flowers, and Guusto gift cards
- Prepare employment letters
- Process regional invoices for payment in a timely manner
- Administer and record approved tuition assistance
- Compile and deliver monthly Talent reconciliation reports
- Generate reports as needed
- Update and revise job postings and role profiles using the national templates
- Manage calendars and monitor regional trackers to ensure accuracy and alignment
General Inquiries:
- Respond to firm members’ queries on Talent matters, referencing documents and information available
- Escalate complex cases to Talent Managers and/or Directors.
- Manage queries to ensure responses are provided within agreed timeframe
- Update lawyer website profiles, as needed
- Other duties and projects, as assigned
Key Competencies
- 2+ years’ experience as a Human Resources Administrator/Coordinator in a professional services firm
- HRIS experience, preferrably with Workday
- Experience and proven performance in coordinating and leading activities/projects
- Ability to maintain the highest degree of confidentiality
- Effective team player, results-oriented, and strong internal client focus
- Outstanding interpersonal skills; demonstrated ability to interact and collaborate with others
- Strong facilitation/presentation delivery skills
- Superior written and oral communication skills with the ability to communicate clearly, concisely, persuasively and effectively
- Excellent organizational skills, ability to prioritize, handle competing tasks and thrive on meeting urgent deadlines in a fast paced environment
- Demonstrated ability to work independently and to collaborate successfully in a team environment
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Ability to work in a fast-paced, high-pressure environment
- Strong attention to detail and the ability to work under pressure to meet deadlines
