Coordinator, Total Rewards

Position Summary

Under the direct supervision of the Director, Total Rewards, the Coordinator supports the Total Rewards Centre of Excellence through the administration of programs including compensation, paid time off, benefits, retirement, and team member perks programs.

Key Accountabilities 

• General Total Rewards Team Administration
  •    Acts as the first line of support for Total Rewards Team inquiries and escalates to appropriate team members as required
  •    Maintains service level agreements and follows up in timely manner 
  •    Processes vendor invoices
  •    Maintains the Human Resources team contact list
  •    Prepares mass team member communications, including letters,  announcements and plan documents for review and distribution upon approval
  •    Maintain the Total Rewards content and resources on the Company intranet
  •    Drafts and updates standard operating procedures as required
• Compensation Support
  •    Monitors daily hourly team member hours worked and anniversary dates through the Human Capital Management System (HCMS),Oracle, and cloud-based analytics platform, Google Looker, and processes rate changes (step progressions) in accordance with the collective agreement or Company policy 
  •    Processes data entry for hourly team member rate changes due to minimum wage, collective agreement, and non-union general wage increases
  •    Partners with Payroll Team to process retroactive rate changes within payroll processing timelines
  •    Maintains and updates hourly wage structure documents and related compensation documentation
  •    Provides administrative support to the Company sales program including letter preparation, and processing of regular payouts as approved by Operations leadership
  •    Provides administrative support towards the Company’s compliance of Pay Transparency, Pay Equity, and other legislated requirements
• HCMS Reporting and Data Integrity
  •    Runs regular reports from HCMS in support of Total Rewards, Human Resources, and other operational teams
  •    Conducts audit of team member data, investigates discrepancies, and collaborates with Human Resources or HCMS teams to correct
  •    Escalates identified system process errors to senior level team members and/or appropriate HCMS or IT teams
  •    Works the Human Resources teams to maintain organizational and position hierarchies including creating new jobs and positions or completing appropriate updates within the HCMS.
• Paid Time Off Processes
  •    Works with Payroll to adjust paid time off plan balances related to new hires, job changes, and return to work
  •    Completes annual processes including applicable payouts, and plan data loads into the HCMS
   

Education and Qualifications

• Post-secondary education required, preferably in human resources, business administration, or finance
• Minimum 2 years’ experience in total rewards, human resources, or payroll administration required
• Familiarity with HCMS / Human Resources Information System, timekeeping or cloud-based data systems required; Oracle preferred
• Experience in a unionized environment preferred
• Proficient in Microsoft Office applications such as Word, PowerPoint; intermediate-level Excel (lookups, pivot tables, mail merge, etc.) preferred
• Effective verbal, written and presentation skills
• Progressing toward a Total Rewards related designation (Certified Employee Benefits Specialist, Certified Compensation Professional) preferred, or working towards Human resources designation, an asset
• Customer-focused, self-motivated, organized, detailed and able to handle multiple priorities, with an emphasis on continuous process improvement.
• Quick learner when facing new problems and able to think with a short term and long-term focus.
