Position Summary


The Corporate Hosting and Tourism Coordinator would be responsible for providing primary support to the Corporate Sales team with a focus on sales tracking and reporting, ticket system support, package fulfillment and associated accounting functions. This role would also offer secondary support to the Tourism initiates during the 10 days of Stampede.


This position reports to the Sales & Marketing Operations Manager and involves liaising with existing and potential clients of the Calgary Stampede, building sales and marketing material, and managing and prioritizing communications for both internal and external use, which support strategic goals and objectives.


The position is a term position – from April through to end of July.


Responsibilities


Responsibilities of this role include, but are not limited to:



  • Working closely with Corporate Sales managing inventory of tickets and packages and support reconciliation and fulfillment and ticket resolution

  • Track Package Fulfillment, for delivery in advance or on day of event.

  • Perform administrative duties including client database edits, shipping packages, scheduling meetings, and package fulfillment.

  • Manage the drink voucher controls for vouchers needed in all Corporate Hosting packages, from ordering, tracking, shipping and balancing.

  • Support production of sales and marketing materials including sales collateral, promotional items and digital assets.

  • Support in the development of reports and presentations as required.

  • Support the Tourism Specialist with 10-Day FAM preparation, including fulfilling packages, processing ticket requests, troubleshooting ticket requests in real-time during the festival, assisting in hosting guests when required, guiding guests to scheduled events and tours as needed, and providing administrative support.

  • Work closely with venue onsite team during the 10 days ensuring they have the group information for all venues.

  • Other duties as required.


Qualifications


The ideal candidate will be proactive, optimistic and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:



  • Relevant experience in marketing, sales administration, and/or partnership marketing, ideally within tourism, hospitality, or events.

  • Ability to engage professionally with industry partners, tour operators, DMOs, media, and international visitors to support year-round tourism objectives.

  • Ability to build and maintain professional relationships both internally and externally.

  • Exceptional communication, comfortable with public speaking, customer service and time management skills with the ability to prioritize and keen attention to detail.

  • Demonstrate resilience and adapt to evolving plans and strategies; you have the ability to find solutions along with the internal team and know when to escalate for resolution.

  • Highly coachable

  • Thrive in a fast-paced environment where every day is different; you are committed and excited by the festival industry where certain times of the year require greater commitment to work.

  • Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint and Outlook) and database applications.

  • Experience using Momentus and CRM databases is an asset.
