Job Information:

Department/Team: Programs, Employment


Reports to: Employment Manager


Job type: Full time permanent


Hours per week: 37.5 hours/week, Monday – Friday 9am-4:30pm, less a daily unpaid ½ hour break


Location: on-site


Minimum Experience:



  • Experienced


Compensation: $55,000- $65,000 per year

Standard police background check is required.


Language requirements: Fluency in English. Knowledge of additional language an asset (such as French, Arabic, Somali, Dari/Pashtu, Tigrinya and Rohingya). 



About Reception House


Reception House is a non-profit, community-based organization that delivers quality settlement, integration and support services to refugees and newcomers in Waterloo Region. Since 1987, Reception House has helped thousands of refugees rebuild their lives in Canada through specialized programs and services designed to help them become established in their new communities. 


The Data and Quality Assurance (QA) Specialist plays a lead role in managing employment data quality and preparing reports for audit readiness. They directly oversee the Employment Specialists, providing support and completing management-related duties. They have an expert eye for detail and numbers to ensure accuracy in outcomes and fiscal controls. The Data and QA Specialist is responsible for completing analysis of reports, ensuring compliance, and data integrity for all program outcomes.



What you’ll do: 



  • Responsible for analyzing client data, generating reports, and providing strategic recommendations to optimize performance within the program.

  • Directly manage the Employment Specialists, assigning caseloads, managing time off and supporting with complex cases.

  • Manage the client database, ensuring data integrity and accuracy.

  • Approving client invoices in the finance system, monitoring the budget to ensure alignment with funding.

  • Working closely with finance department to coordinate department payments and accounts.

  • Assist with new employee onboarding, training staff on reporting standards, system use and employment team procedures and workflows.

  • Supporting the Employment Manager in day to day oversight of client service delivery, implementing new organizational policies, team procedures and related processes.

  • Tracking Employment team KPIs and completing performance reviews and professional development.

  • Help maintain effective communication within the employment team, ensuring that operational updates, tools, and procedures are clearly communicated.

  • Develop and prepare budget forecasts and reports related to client service delivery.

  • Ensure compliance with funding agreement and applicable protocols.



What you’ll need: 



  • Post secondary education in social services, economics or related field required.

  • Minimum 5 years’ work experience within a similar Employment Ontario role or employment services role.

  • Previous experience with CAMS, ES Cases (or similar) & Employment Ontario services required.

  • Experience managing or leading other staff preferred.

  • Knowledge of Integrated Employment Services framework an asset.

  • Proficiency in Microsoft Office, Employment Ontario databases and financial software.

  • Understanding of database management.

  • Demonstrates excellent time-management skills with a proven ability to meet deadlines and effectively manage multiple priorities.

  • Possess strong analytical skills with expert attention to detail.

  • Able to think critically and use resources effectively.

  • Highly organized and detailed orientated, able to maintain accuracy and consistency in all tasks.  

  • Excellent verbal and written communication skills, with ability to provide productive feedback and direction to staff.

  • A high level of self-awareness that is sensitive to cultural and life experiences including trauma and harm.

  • Excellent resourcefulness, problem solving and initiative skills.


 


Working conditions:



  • Majority of time spent working at a desk in a stationary position, utilizing computer and peripherals.

  • Must be physically able to move freely throughout buildings and travel within community with reasonable accommodations as required.
