Dispatch Assistant

It's full-time position until January 2027

Job Summary The Dispatch Assistant supports daily transportation and shipping operations by assisting with dispatch coordination, shipment scheduling, communication with drivers and administrative recordkeeping. This role helps ensure efficient movement of materials, supports shipping activities, provides vacation and holiday coverage.

Primary Responsibilities

Dispatch & Transportation Support

• Assist with daily dispatch activities, including coordinating drivers, routes, and pickups.


• Maintain communication with drivers regarding schedules, delivery requirements, and operational updates.


• Monitor transportation schedules and provide updates on delays or service disruptions.


• Support load planning and routing activities to maximize operational efficiency.


• Assist the Transportation Supervisor with administrative and operational dispatch functions. 
  
  

Shipping & Logistics Support

• Assist the shipping department with scheduling inbound and outbound shipments.


• Prepare and maintain shipping documentation, bills of lading, manifests, and other transportation records.


• Coordinate with carriers, brokers, customers, and internal departments regarding shipment status and delivery schedules.


• Provide support during peak shipping periods and assist with workload balancing between departments. 
  
  

Administrative & Recordkeeping

• Maintain accurate dispatch, transportation, and shipping records.


• Enter operational data into company systems and spreadsheets.


• Track shipment information, delivery confirmations, and transportation metrics.


• Assist with reports, inventory records and other operational documentation as required. 
  
  

Coverage & Operational Support

• Provide vacation and holiday coverage for dispatch and shipping functions.


• Support cross-functional operational activities as business needs require.


• Assist with special projects and growth initiatives aimed at improving operational efficiency.


• Collaborate with yard, transportation, and shipping teams to support overall operational goals. 
  
  

Safety & Compliance

• Follow all company policies, procedures, and health and safety requirements.


• Maintain a clean, organized, and safe work environment.


• Report safety concerns, incidents, or operational issues promptly.


• Ensure transportation and shipping activities comply with company standards and applicable regulations.
  
  

Qualifications & Skills

• High school diploma preferred.


• Previous experience in dispatch, transportation, logistics, shipping, or a related operational environment preferred.


• Strong computer skills, including Microsoft Office applications.


• Excellent verbal and written communication skills.


• Strong organizational and time management abilities.


• Ability to manage multiple priorities in a fast-paced environment.


• Attention to detail and accuracy in documentation and recordkeeping.


• Strong problem-solving and customer service skills.


• Ability to work independently and as part of a team.
  
  

Work Conditions

• Onsite position based in Legal, AB


• Frequent interaction with drivers, transportation providers, shipping personnel and management


• Fast-paced operational environment with changing priorities


• Occasional overtime or schedule flexibility may be required to meet business demands
