Position Overview: The Dispatch Coordinator plays a vital role in supporting 4Seasons Transportation’s logistics and maintaining service efficiency within the Operations department. This position is responsible for real-time route tracking, midday monitoring, and ensuring timely, clear communication with families, schools, and staff. A key part of the role includes finding last-minute coverage for absences. The Dispatch Coordinator is the frontline responder to on-road issues, incidents, and emergencies, upholding our commitment to safe, reliable, and timely student transportation.
Route Monitoring and Coverage
Track live route progress to ensure timely student pickups and drop-offs
Monitor route accuracy and verify correct locations
Manage coverage in response to last-minute book-offs
Communication and Support
Communicate professionally with guardians and school contacts regarding delays, incidents, or concerns
Respond promptly to inquiries, disruptions, and routing issues
Answer phone calls professionally, maintaining a calm and solution-focused approach under pressure
Incident and Emergency Response
Act as the primary delegate and responder in emergency situations, including collisions, behavioural incidents, and medical emergencies
Initiate appropriate actions, including contacting other 4Season departments and calling 911 on staff’s behalf when necessary
Collaborate with the Operations team to document and resolve incidents, such as vehicle collisions, behavioural issues, and equipment malfunctions
Availability and Flexibility
Provide additional support outside regular hours as needed, including evenings and weekends
Qualifications:
Candidates with experience in crisis response, particularly those with dispatch or emergency services backgrounds, are encouraged to apply
Strong computer literacy and ability to quickly learn new tracking and dispatch systems
Clear, kind, and professional verbal and written communication skills
Excellent customer service skills, with the ability to remain calm and solution-focused under pressure
Experience working effectively in a team environment
Demonstrated organizational, decision-making, and problem-solving abilities
Experience in a leadership role is considered an asset
Familiarity with 4Seasons Transportation’s policies, procedures, and student care standards is an advantage
