The Division Project Administrator will support the Director and Vice President of the Environment Division with various administrative components of small to large-scale environmental projects in the forestry, utility, oil and gas, government, and private sectors. Environmental projects will involve natural resource management, with a focus on vegetation, ecosystem mapping, fish and fish habitat, wildlife and wildlife habitat and species at risk. The Division Project Administrator will work exclusively with the Director and Vice President to provide support with overall project delivery and coordination.
*This 6-month contract position may lead to a permanent placement based on project needs.
Key Job Functions & Responsibilities
Key duties include but are not limited to the following:
Support Environment Division Executive Team with administrative tasks directly related to ensuring project deadlines are met.
Provides support on project, task and safety management to maintain effective project deliverables.
Project resource coordination of multiple small to medium projects.
Contribute to the preparation and the development of proposals and cost estimates and support procurement initiatives as directed.
Support budget tracking/management as directed.
Work collaboratively with multi-disciplinary teams to achieve team deliverables.
Assist with the design, planning and execution of ecological studies focused on fisheries and aquatic resources, but also including water quality, wildlife, vegetation, and other environmental information.
Assist with organizing data, and collaborating with the planning of field activities, programs and various surveys in different fields (i.e., vegetation, fish and fish habitat, wildlife and wildlife habitat, species at risk, watercourses and wetlands, and ecological communities).
Work collaboratively with Service Area team resources responsible for conducting environmental baseline surveys and impact assessment studies in conformance with local, provincial, and federal regulations.
Assist Environment Division Executive Team with setting and managing client expectations, communication with the project team, cost tracking, invoice review, and milestone tracking.
Anticipate and communicate to Environment Division Executive Team when a task cannot be completed on time or on budget and develop solutions to such issues with involvement from the management team.

Assist with timely response to project or contract changes and requests and corresponding deliverable requirements.
Bottlenecks/inefficiencies/quality issues are identified analyzed and remedied in collaboration with the Director and Vice President.
Clients are satisfied with project deliverables, timelines, and expenditures.
All field work and reporting deliverables meet technical requirements as defined by legislation, regulation, and McTavish quality standards.
Field work is carried out in a safe and effective manner that meets the project scope of work requirements.
Assigned tasks and deliverables are completed to the satisfaction of the Project Lead, client, and other relevant entities.
Effective relationships are maintained internally and externally.
Job Requirements
Requirements for the role of Division Project Administrator are provided below:
Degree or diploma from a recognized university or college.
1-2 years of experience in a small to medium professional service with emphasis on environmental consulting, an asset
Demonstrated experience in project coordination with environmental consulting services, an asset
