The Opportunity:

The Markham Stouffville Hospital (MSH Foundation) is seeking a Donor Services Associate to be the face of the Foundation responsible for providing excellent donor support through primary reception coverage, accurate donation processing and administrative support. The Donor Services Associate is an important part of the MSH Foundation’s Support Services team increasing the efficiency and effectiveness of our office operations and gift recording processes while ensuring the Foundation is meeting CRA requirements and other business standards.


Work schedule:

Available to work Monday-Friday, 7.5-hour shifts. This position involves some moderate lifting, shipping and handling. Access to a car, and a valid G driver’s license is required.

Please note schedules may change due to operational needs.

Compensation:

Pay Range: $44,000 - $48,000 per year plus up to 10% at risk

Responsibilities

Donor Services

  • Meet the Foundation’s high level of service standards through primary reception coverage to ensure prompt personal service and appropriate follow up given to key stakeholders.
  • Respond to, or direct appropriately, general foundation, hospital and donor inquiries and ensure consistent and appropriate messaging and escalate as appropriate including notifying hospital patient relations of any hospital matters.
  • Support the Raiser’s Edge database and data integrity by updating donor records, ensuring address and contact methods are accurate, and entering responses from donor preferences and statistical surveys.
  • Coordinate daily mail collection and distribution including collecting, opening and distributing inbound mail, recording and arranging postage of outbound mail, accepting and arranging deliveries and couriers. 

Gift Administration

  • Provide accurate and efficient donation processing and produce tax receipts/acknowledgement letters in accordance with the standards and policies of the CRA as well as the Foundation.
  • Promptly and appropriately acknowledge all donations including generating and mailing thank you letters and tax receipts and responding to donor inquiries.
  • Provide records management support by ensuring the Foundation accounting records are properly filed, stored and archived according to Foundation guidelines for easy to retrieval when needed.
  • Back up during the foundation yearly audit for requests supporting revenue entries.

Foundation Wide Support

  • Provide general administrative support to the Donor Engagement & Operations team including invoice coding, meeting coordination and Visa reconciliation.
  • Coordinate office maintenance to ensure that the Foundation maintains a safe, clean and professional workplace including liaising with the Property Manager to coordinate office repairs, moves, installations, cleaning issues, etc. and work with the Management team on space planning and storage needs as required.
  • Coordinate purchases, facilitate maintenance and track inventory of Foundation wide and Donor Engagement specific supplies and equipment to maintain a healthy stock and maintain expenses per budget.
  • Ensure Oak Valley Health’s Health & Safety guidelines are adopted for the Foundation as required including providing regular updates to the Foundation team and liaising with the Hospital’s Health & Safety team.
  • Support at signature events and perform other duties as assigned.

Requirements

  • A college diploma or related certification in business administration with minimum one year of experience in related field.
  • Excellent communication, interpersonal and customer service skills with the ability to handle sensitive and confidential information appropriately and with discretion.
  • Friendly, self-starter, motivated to take on new initiatives and open to taking informed risks with sound judgment, tact and diplomacy.
  • Good technical skills including experience with online resources, Microsoft Office, spreadsheet and database applications (knowledge of Raiser’s Edge a strong asset).
  • Aptitude for technology with ability to learn and effectively use new systems proficiently.
  • Ability to organize and manage a diverse range of assignments and adjust to changing priorities while maintaining high efficiency and thorough attention to detail.
  • Resourceful and independent while comfortable working within the framework of an integrated development program and team-oriented environment.
