What You'll Do
Reporting to the Associate Vice-President, Brand, Marketing & Strategy, the Executive Assistant provides executive and operational support to the Associate Vice-President, Brand, Marketing & Strategy, the Vice-President, Women's Strategy & Partnerships, the Director, Editorial & Brand, and the Women's Strategy & Projects Lead.
As a trusted partner to the leadership team, you will help ensure priorities stay organized, projects move forward efficiently, and internal and external stakeholders receive responsive, professional support. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and takes pride in helping leaders and teams succeed.
Executive and Administrative Support
- Manage complex calendars for multiple leaders, balancing competing priorities and ensuring effective use of leadership time.
- Coordinate internal and external meetings, including scheduling, agendas, materials, room bookings, virtual meeting logistics, catering, and follow-up activities.
- Anticipate scheduling conflicts and proactively identify solutions.
- Support day-to-day executive administration, including correspondence, document preparation, records management, and inbox support as required.
Meeting Coordination and Leadership Support
- Prepare agendas, briefing materials, presentations, background documents, and action trackers.
- Support regular leadership meetings, planning sessions, portfolio meetings, and external partner meetings.
- Attend meetings as required to document decisions, actions, and next steps.
- Track follow-up items and ensure commitments are completed in a timely manner.
- Collaborate with Executive Assistants and administrative professionals across the Foundation to support cross-functional priorities.
Portfolio Coordination and Project Support
- Provide coordination support across the Brand and Women's Strategy & Partnerships portfolios.
- Assist with planning and execution of key initiatives, campaigns, stakeholder engagements, events, and special projects.
- Maintain timelines, trackers, documentation, and project records.
- Support business planning activities by organizing materials and tracking priorities, goals, and action items.
- Coordinate partnership, committee, and stakeholder-related activities to ensure effective communication and follow-through.
Finance and Administrative Operations
- Support expense processing, invoice coordination, purchase requisitions, and budget administration.
- Maintain organized records for contracts, approvals, reports, and other portfolio documentation.
- Coordinate travel arrangements, hospitality, and event logistics.
- Prepare routine reports, summaries, and administrative documentation to support leadership decision-making.
Communications and Relationship Management
- Draft, format, proofread, and coordinate correspondence, presentations, reports, and meeting materials.
- Support communication with internal teams, senior leaders, donors, partners, and stakeholders.
- Handle sensitive and confidential information with professionalism, sound judgment, and discretion.
- Contribute to a responsive, collaborative, and highly organized team environment.
What You'll Bring
- Post-secondary education in Office Administration, Business Administration, Communications, Project Coordination, or a related field, or an equivalent combination of education and experience.
- Several years of progressive experience providing executive or senior administrative support in a complex, fast-paced environment.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Proven ability to manage multiple priorities and deadlines while maintaining a high level of accuracy.
- Strong relationship-building and interpersonal skills.
- Advanced proficiency with Microsoft Office applications and virtual meeting platforms.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
