Reporting Relationship


The Executive Assistant works under the direction of the Director of Education and in accordance with the reporting obligations of M’Chigeeng First Nation Administration.



Position Summary


The Executive Assistant provides high-level administrative, coordination, and confidential support to the Director of Education to ensure effective leadership, governance, planning, communication, and daily operations within the M’Chigeeng Education Department.


 


Duties & Responsibilities


Essential Functions



  • Provide high-level administrative, executive, and coordination support to the Director of Education and Education leadership team.

  • Manage scheduling, meeting logistics, briefing materials, agendas, minutes, action items, and follow-up for Director-level meetings and committees.

  • Prepare, review, and distribute confidential correspondence, reports, community notices, briefing notes, and other documents on behalf of the Director as directed.

  • Track decisions, motions, priorities, deadlines, and follow-up items arising from staff, committee, and Chief and Council-related processes.

  • Support annual strategic planning, work plan development, recruitment, onboarding, orientation, and departmental reporting processes.

  • Respond to program staff, parents, community members, public inquiries, and correspondence in a timely, respectful, and professional manner.

  • Maintain organized filing, records, mail, timesheets, policy revisions, and administrative tracking systems in accordance with departmental procedures.

  • Monitor administrative activities, projects, services, and progress toward departmental goals and objectives.

  • Use computers, office systems, and relevant software to support efficient Education Department operations.

  • Provide program clerical support as required while maintaining confidentiality, professionalism, and sound judgement.



Qualifications/Requirements


Diploma or Degree in: 



  • Business Administration/ Accounting / Finance / Public Administration / Education Administration / or Related field 



Experience



  • Minimum 3–5 years of experience providing senior administrative, executive assistant, governance, or office coordination support.

  • Experience preparing confidential correspondence, meeting materials, minutes, reports, and follow-up tracking for senior leadership or committees.

  • Experience supporting planning, scheduling, records management, reporting, budgets, or administrative tracking systems.

  • Experience within education, public sector, Indigenous organizations, or community administration is considered an asset.



Other Requirements



  • Advanced working knowledge of Microsoft Office applications and office administration systems.

  • Strong understanding of and commitment to MFN goals, vision, policies, confidentiality, and professional standards.

  • Ability to exercise discretion, sound judgement, tact, and professionalism when handling confidential or sensitive matters.

  • Knowledge of First Nation issues and challenges, with a proactive approach to finding solutions.

  • Knowledge and understanding of Anishinabek culture, traditions, and history.

  • Understanding of the Ojibwe language is an asset; willingness to learn is also valued.

  • Ability to work independently, manage competing priorities, stay organized, and meet deadlines.

  • Excellent written and verbal communication skills, including the ability to prepare clear executive-level materials.

  • Current CRC/VSS dated within ninety (90) days, submitted as an original or certified copy.

A current CRC/VSS dated within ninety (90) days must be submitted as an original or certified copy. All individuals employed with MFN Education programs are required to submit a Vulnerable Sector Screen and Criminal Record Check upon hire.
