Job Description - Enterprise Content Management Specialist

Reporting to the Manager, Data & AI Governance, the Enterprise Content Management (ECM) Specialist is responsible for ensuring that all types of organizational content are accessible, properly managed, and aligned with compliance, productivity, and business needs. The ECM Specialist will oversee content classification, governance, and lifecycle management across departments, enabling information to flow efficiently and securely throughout the enterprise.


Working in close collaboration with the IT Infrastructure team, and department leaders,  the ECM Specialist plays a key role in developing and maintaining strategies, platforms, and standards for enterprise content management. This individual will lead initiatives related to content classification, regulatory compliance, and end-user training, ensuring all ECM systems and practices support organizational goals.

KEY ACCOUNTABILITIES


Strategy & Planning



  • Ensure that the classification and organization of content meet business requirements, are in-line with IT’s strategy, fulfill end-user requirements, and resolve compliance and litigation needs issues.

  • Review and analyze existing information lifecycle management effectiveness and efficiency, and then develop strategies for a long term sustainable solution.

  • Cultivate and disseminate knowledge of information sharing and communication best practices.


Acquisition & Deployment



  • Research and make recommendations on software products and services in support of procurement and development efforts.

  • Evaluate, design, and roll-out content classification systems throughout the enterprise.

  • Collaborate with the IT Infrastructure team, and key business stakeholders in the testing of new software programs and applications.

  • Collaborate with compliance team to analyze the current compliance needs and develop a strategy to ensure that the content management strategy meets the long term legal and compliance needs of the enterprise.

  • Ensure that any new software integration into company systems meets functional requirements and aligns with the data classification system.


Operational Management



  • Organize the necessary projects and standing committees to ensure that information is moving appropriately throughout the enterprise.

  • Liaise with the data steward to assist with quality assurance, data governance, and data classification.

  • Develop and communicate training and documentation for end users, hold clinics as necessary, and other user-related activities.

  • Develop, distribute, and coordinate in-depth end-user reviews for any changes to compliance or acceptable use of information sharing platforms.


 


EDUCATION & EXPERIENCE 


The competencies for this position would typically be acquired through the completion of Diploma/Post-secondary degree in Computer Science, Information Management, or a related field with minimum of 2 years of relevant work experience in content or information management. Certifications in Security, Records Management, or Information Management are considered assets.


QUALIFICATIONS



  • Proven experience implementing and managing enterprise content management systems.

  • Solid understanding of eDiscovery, regulatory frameworks, and legal considerations in ECM.

  • Familiarity with enterprise hardware, security protocols, and industry standards.

  • Strong project management skills and experience working in project-based environments.

  • Excellent communication, collaboration, and training delivery skills.

  • Deep understanding of organizational goals, compliance requirements, and data privacy laws. 


 


LOCATION AND WORK ENVIRONMENT 


This position works in a hybrid model, alternating between remote work and the Head Office
