Job Description - Equipment Receiving / Inspection Administrator

Description

Our Substations & Renewables group is currently looking to add Equipment Receiving / Inspection Administrators to our Quality team.

Reporting to the Quality Manager, we are seeking detail-oriented and organized professionals to lead the systematic inspection, documentation, and verification of Battery Energy Storage System (BESS) containers, Power Conversion System (PCS) equipment, and associated electrical apparatus received at project sites. These positions ensure all incoming equipment is inspected against purchase orders, vendor drawings, specifications, shipping documentation, and OEM requirements prior to acceptance and release for construction.

Please note: we currently have 2 positions, 1 based in Jarvis, ON and 1 in Elora, ON.

Duties and Responsibilities

  • Coordinate with procurement and logistics to confirm delivery schedules, packing lists, purchase orders, and Bills of Lading (BOL) are on hand prior to equipment arrival
  • Verify serial numbers, quantities, and document references against BOL and packing lists upon delivery; conduct physical condition reviews of incoming BESS containers confirming exterior condition, OEM shipping restraints, nameplate data, and weatherproofing integrity
  • Review completed field check sheets for accuracy, completeness, and compliance with the project-approved BESS Receiving Inspection Checklist prior to submission
  • Review and organize photo documentation to confirm coverage of nameplates, shipping labels, overall condition, and any damage or deficiencies; file photos per the project document control structure
  • Initiate OSD (Overage, Shortage, Damage) reports for any identified deficiencies; coordinate with the Quality Manager, Construction Manager, and Procurement team for OEM notification or replacement action as required
  • Submit all receiving records to Document Control in accordance with project requirements; maintain a receiving log tracking delivery status, inspection completion, open OSD items, and outstanding documentation
  • Provide receiving status updates to the Construction Superintendent and Quality Supervisor identifying equipment received, open items, and documentation deficiencies requiring resolution


Requirements
  • High School Diploma or equivalent
  • 3 years of experience in a quality assurance, inspection, document control, administrative, or construction coordination role
  • An equivalent combination of relevant education and experience may be considered
  • Experience reviewing, organizing, and managing documentation including reports, checklists, purchase orders, and correspondence in a fast-paced environment
  • Proficiency in Microsoft 365 including Word, Excel, Outlook, Teams, and SharePoint

Preferred Skills / Qualifications

  • Post-Secondary education in a technical, scientific, or administrative field is an asset
  • Completion of a recognized QA/QC or inspection training program
  • Experience with major infrastructure, industrial, or energy projects
  • Familiarity with BESS systems, PCS / inverter equipment, or electrical apparatus receiving
  • Experience with construction document control platforms such as Procore, Aconex, or equivalent


Benefits

This position offers a base salary range of $55 000 - $75 000 annually, depending on experience and qualifications.
