Saint John Energy is inviting applications for the role of "Executive Assistant" until 2:00pm on Tuesday, January 27, 2026.
Reporting to the President and CEO, the Executive Assistant will play an important role in empowering our senior leadership team to achieve our strategic objectives. The Executive Assistant will support the President and CEO, executive team members, as well as members of the management team by providing various administrative support and assisting with communications activities.
Duties
Scheduling and coordinating meetings for the President and CEO and members of the executive team
Support SJE Board of Commissioners by preparing board materials and organizing board meetings
A de facto member of Employee Council to ensure coordination of social events planning
Managing of senior executives’ team calendars
Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
Management and posting of senior executives’ monthly expenses
Maintain professionalism and strict confidentiality with all materials
Ordering/catering meals for meetings and events and conducting post-event clean-up
Record meeting minutes and action items for various meetings as required
Support internal communications, including maintenance of internal SharePoint Site, scheduling employee update sessions, and communicating key information to employees as required
Manage community donations
Manage SWAG ordering, donations, inventory and budget
Perform customer support on an exceptions basis as needed
Employment Requirements:
Post-secondary education or equivalent experience
Excellent oral, written, and interpersonal communication with strong writing and editorial abilities
Strong knowledge of general office procedures
Strong knowledge of Microsoft Office Suite of tools
Experience using social media channels for business communications
The ability to use video and graphics creation tools such as Canva, Adobe Pro, and Microsoft Stream would be an asset
High requirement for confidentiality
Professional, resourceful, and collaborative
Accuracy and attention to details always
Excellent time management and multi-tasking skills, and the ability to prioritize tasks
