Executive Assistant

Position Summary: Smoky Lake County is seeking a highly skilled, organized, and experienced Executive Assistant to join our leadership team. Reporting directly to the Chief Administrative Officer (CAO), this pivotal role provides high-level confidential support to the CAO and administrative support to County Council, serving as a vital liaison between executive management, elected officials, and the public.

Beyond executive administration, this senior position carries overall responsibility for the Municipal Legislative Clerk portfolio and serves as the County’s designated Privacy Officer. You will play an essential role in driving governance integrity—managing Council meeting workflows, overseeing bylaw and policy lifecycles, and ensuring strict organizational compliance with the Alberta Municipal Government Act (MGA), the Protection of Privacy Act (POPA), and County procedural bylaws.

Key Responsibilities:

  • Manage executive scheduling, correspondence, briefing materials, workflow tracking, delegations, and Council Action Directives on behalf of the CAO.

  • Coordinate end-to-end Council, Committee, and Board meeting logistics—including agenda package creation, Requests for Decision (RFDs), official minute-taking, and records repositories in accordance with the Municipal Government Act (MGA).

  • Oversee the legislative lifecycle of bylaws, statutory notices, public hearings, proclamations, and municipal agreements.

  • Administer the Privacy Management Program, process formal privacy requests, and manage corporate record retention schedules.

  • Assist with municipal elections/censuses, interdepartmental projects, policy research, and administrative guidance.

Requirements:

  • Diploma or Bachelor’s Degree in Public/Business Administration, Political Science, Legal Administration, or a related field (or an equivalent combination of experience and education).

  • NACLAA completion or active enrollment preferred; formal training in privacy management, parliamentary procedure, and minute-taking is an asset.

  • 5+ years of progressive administrative experience, including at least 2 years in municipal government and direct experience supporting executive leadership, preparing agendas, and taking official minutes.

  • Strong working knowledge of the Alberta Municipal Government Act (MGA) and Protection of Privacy Act (POPA). Advanced MS 365 skills and top-tier political acumen/discretion.

  • Valid Alberta Class 5 Driver’s License, satisfactory Criminal Record Check, and willingness to attend regular evening Council meetings.

Smoky Lake County would like to thank all applicants in advance for their interest; however, only those candidates selected for an interview will be contacted.
