(Permanent Full-time)

LOCATION: 111 Pinehouse Drive, Saskatoon

General:

The Executive Assistant to the Chief Administrative Officer (CAO) will primarily be responsible for providing administrative support to the CAO, including handling sensitive political and human resource issues, preparing correspondence and reports - including Council Reports using eScribe, taking minutes at meetings, scheduling meetings and appointments, responding to and/or redirecting inquiries, assisting with communications, and completing special research and/or projects as assigned. Reporting directly to the CAO, this position liaises with R.M. departments, Council, other levels of government, external agencies and boards, community groups, and members of the public. This position will work very closely with the Legislative Officer. The Executive Assistant ensures the CAO office is well-organized, efficient, and responsive to the needs of internal and external stakeholders.

Key Responsibilities:

  • Perform a wide variety of confidential, administrative support activities to the CAO, including managing the CAO's calendar, scheduling meetings and appointments and preparing written correspondence.
  • Responsible for maintaining the CAO's electronic and paper files and ensuring that they are organized, up-to-date and accessible.
  • Act as a liaison between the CAO and internal and external stakeholders. This may involve coordinating meetings, facilitating communication, and providing information on behalf of the CAO.
  • Monitor and respond to inquiries, requests and complaints from the public, Staff, and elected officials on behalf of the CAO. The Executive Assistant will be responsible for prioritizing inquiries and responding to them promptly and professionally or escalating items to the CAO as needed.
  • Drafts reports and correspondence on behalf of the CAO.
  • Conducts research under the direction of CAO.
  • Assist in preparing reports, presentations, and other documents as required. This may involve conducting research, analyzing data, and drafting reports or presentations that are clear, concise, and well-organized.
  • Coordinate and organize special events and projects as assigned by the CAO, including meetings, workshops, and other gatherings.
  • Make travel arrangements and arrange registration for meetings and conferences. Provide itineraries and information for meetings, conferences, and speaking engagements.
  • Coordinate the ordering of supplies for the CAO's Office.
  • Provide back-up support to the Reeve, as required.
  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
  • Assist with maintaining the R.M. website and ensure the information is accurate.
  • At all times, ensure the highest standards of confidentiality and integrity.
  • Adhere to, support and promote adherence to all R.M. policies and procedures, regulations, and other related guidelines.
  • At all times, work in a safe manner in compliance with the Occupational Health & Safety Act.
  • Attend regular team meetings and support team building, working closely with others in the division and all other R.M. departments.
  • Perform other duties as assigned by the CAO or as required by the R.M.'s administrative functions


Requirements
The successful candidate will have:

  • Post-Secondary education in Public Administration, Political Science, Business Administration or a related field. A combination of experience and education may be considered.
  • Minimum five (5) years of related administrative experience, preferably in a municipal environment and supporting a Senior Management or C-suite role.
  • Exceptional organizational and time management skills, with the ability to manage complex calendars and prioritize tasks and multiple meetings simultaneously.
  • Strong interpersonal skills combined with demonstrated analytical, administrative, problem-solving and customer service skills.
  • Strong written and verbal communication skills, including the ability to draft professional correspondence, reports and communicate effectively with a variety of stakeholders.
  • Preference for working knowledge of government and government administration at all levels.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Ability to think and act strategically in a political environment and to foster and contribute to a positive, productive work environment.
  • Collaborative nature.
  • Strong computer skills, including excellent proficiency in Microsoft Office Suite.
  • Available to work flexible hours to attend evening and/or weekend meetings or events when required.

Additional Job Information:

Hours of work:8:30am to 5:00pm (minimum weekend and evening work may be required)
Wage Range:$60,078 - $72,946 per year to commensurate upon experience, plus benefits.
