Job Description - Executive Assistant

Calgary, AB (Hybrid in-office, Tues, Wed, Thurs)

Currently, we are in search of an experienced Executive Assistant to provide outstanding support to our President, our Vice President of Human Resources, and our Vice President of Legal.

Key Areas of Responsibility:

  • Work directly with the President to support all aspects of his daily work routine.
  • Determine priority of matters of attention for the President; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Provide comprehensive administrative support to the President, VP-HR, VP-Legal, and support our other executives as required.
  • Prepare, review, reconcile and submit expense reports and invoices for the President, VP-HR and VP-Legal.
  • Draft, review and prepare documents, memorandums, presentations, reports, and other general letter preparation and correspondence and send communications on behalf of Company executives.
  • Maintain organized paper and electronic document filing systems and manage the President's Outlook calendar. Exercise discretion in committing time and evaluating needs.
  • Coordinate and organize meetings, including gathering documents in advance and attending to logistics of meetings including agenda preparation.
  • Coordinate and organize conferences, training sessions, and special events.
  • Draft professional corporate communications and create presentations using PowerPoint.
  • General business functions which include filing, photocopying, and scanning of documents.
  • Facilitate travel arrangements including all hotel, air travel and corresponding reservations.
  • Attend meetings and take notes of discussions; prepare the initial draft of minutes and summaries.
  • Maintain confidential and sensitive information.

Key Qualifications:

  • A minimum of 10 years of experience as a Senior Administrative Assistant/Executive Assistant.
  • Advanced to expert proficiency in MS Office applications: Word, Outlook, Excel, and PowerPoint.
  • Exceptional interpersonal skills with a proven ability to communicate professionally, both orally and in writing.
  • Demonstrated ability to exercise sound judgment, uphold confidentiality, and recognize limits of authority.
  • Self-driven and capable of working independently while taking initiative.
  • Meticulous attention to detail.
  • Superior planning and coordination skills for special events, meetings, and conferences.
  • Exhibits a polished and professional demeanor.
  • Ability to adapt to changing priorities, multitask effectively, and remain flexible.
  • Core office hours will be 8:00 a.m. to 5:00 p.m.
