The Opportunity


The Executive Assistant to the President & Chief Executive Officer provides senior-level, highly confidential administrative and operational support to the President & CEO and serves as the central coordination point for the CEO’s office.


This role enables effective executive leadership, governance, and organizational alignment through the management of executive priorities, confidential materials, and corporate planning, budgeting, and reporting processes. The Executive Assistant plays a key role in supporting the APC Board of Directors and Board Committees, ensuring accurate documentation, effective communication, and timely coordination of governance materials and meetings.


Working closely with the Executive Team and key internal and external stakeholders—including government partners—the Executive Assistant exercises sound judgment, discretion, and initiative to proactively manage competing priorities in a complex, fast-paced environment, contributing to APC’s vision of being a world-class organization.


Responsibilities



  • Executive Office & CEO Support 

    • Serve as the central coordination point for the President & CEO’s office, ensuring effective prioritization, scheduling, and follow-through on executive commitments.

    • Exercise discretion and sound judgment in handling sensitive matters, determining appropriate escalation, and acting on behalf of the President & CEO when required.

    • Manage complex and confidential calendars, meetings, and communications involving internal and external stakeholders.

    • Prepare, review, and coordinate sensitive correspondence, briefing notes, presentations, contracts, and executive materials.

    • Anticipate the needs of the President & CEO by exercising independent judgment and initiative under minimal direction.




  • Board & Governance Support




    • Coordinate all logistical and administrative aspects of APC Board of Directors and Board Committee meetings, including scheduling, agenda preparation, material compilation, minute-taking, and distribution of official records.



    • Ensure accuracy, timeliness, and confidentiality of Board and governance documentation in accordance with governance standards and organizational requirements.

    • Maintain effective working relationships with Board Members and Board Executive Assistants.

    • Support compliance with governance and reporting requirements as directed by the President & CEO.




  • Corporate Planning, Government & Stakeholder Support



    • Support corporate planning activities, including the preparation and submission of business plans, budgets, and reports.

    • Provide administrative and coordination support related to government relations, including oversight committee coordination and maintenance of required government documentation.

    • Maintain government relations tracking tools, including communication and engagement matrices.

    • Support correspondence and engagement with municipal, provincial, and federal stakeholders, as required.






  • Operational Excellence & Process Improvement



    • Design, document, and improve administrative processes, procedures, and controls to support consistency, efficiency, and effective governance.

    • Maintain centralized electronic and physical filing systems in accordance with organizational standards.

    • Manage office operations, including expense reporting, budget tracking for the President’s Office, and office supply management.

    • Support Executive Team, Leadership Group, and Core Team meetings as required.





  • Professional Practice & Organizational Contribution 

    • Respond effectively to urgent or short-notice requests, demonstrating flexibility, responsiveness, and sound judgment.

    • Maintain the highest standards of discretion, professionalism, and confidentiality.

    • Demonstrate a commitment to continuous learning and professional development.

Required Education, Training, and Experience



  • University/College Degree in Administration, Management, or a related field.

  • Proven experience supporting senior executives and Boards, requiring a high degree of discretion, sound judgment, and independent decision-making.

  • Minimum of 10 years’ experience; where knowledge & experience at high-level administrative management/office procedures, understanding of HR principles, report preparation, and finance/accounting processes.

  • Clearly demonstrated knowledge of software packages such as Microsoft Word, Excel, and PowerPoint.

  • Must demonstrate knowledge of sound business practices, managing competing priorities successfully.

  • Proven experience at high-level administrative support roles.

  • Strong organizational and time management skills.

  • Excellent attention to detail and accuracy.

  • Ability to handle highly sensitive and confidential information with professionalism and discretion.

  • Superior communication and interpersonal skills.

  • Strong creative competencies, including the ability to design innovative process solutions that make APC’s administration more efficient and effective.

  • A combination of Education and Experience may be considered.
