Working for Research Administrative Services

Research Administrative Services (RAS) is responsible for the financial management of research funds. As part of the research administration of this revenue, RAS is accountable for generating financial information from the source modules that is used by Financial Services to produce institutional level statements. These responsibilities require RAS to ensure that the integrity of the information maintained and produced is of the highest quality and also supported by good business practices.

Position

The Finance Assistant position is intended for newly graduated Co-op students who have worked at Research Administrative Services (RAS) during their Co-op work term(s). This position is responsible for a variety of more complex financial activities as well as quality assurance activities and functions in the administration of research funding at RAS.

This position will liaise and assist the Finance Analysts and Quality Assurance Analysts in providing support and guidance to sponsors, staff within other teams of RAS and the university community. In this functionally-based service environment, the position is expected to act under the guidance of their supervisor to ensure quick and efficient services are delivered both internally and externally.

The Finance Assistant must possess strong accounting and analytical skills, coupled with demonstrated technical skills (PeopleSoft, Excel, etc.).

Duties

  • Creates billing plans in accordance with research awards to ensure that all monies owing to the University are identified for invoicing and collection from sponsors
  • Applies internal policies and procedures to ensure proper recognition of revenue that will ultimately be reflected in the financial statements of the University
  • Finalizes and completes activation of basic project setups, project amendments
  • Assists with investigation and resolution of financial discrepancies in the accounting records such as those related to Budgets, Revenue, invoicing, expenditures and financial statements.
  • Prepares payment requests for subgrants and return of unspent funds.
  • Prepares monthly quality assurance reports
  • Assists with monitoring, investigating and collecting past due accounts receivable items
  • Prepares and submits general ledger journal entries for approval
  • Assists with preparing invoices for sponsors
  • Investigate unknown payments received and identify research project or invoice for payments
  • Identifies system related errors or issues and recommends solutions
  • Recommends updates to RAS procedures and assists with training/development of other Coop students
  • Prepares and submits system generated financial statements to sponsors
  • Prepares various financial summaries and analyses for research projects
  • Closes research projects once all terms and conditions have been met

Qualifications

  • Undergraduate degree program in a related discipline or a business or accounting program
  • Minimum of one year financial experience in a research administration setting is required within Research Administration Services
  • Strong communication (oral and written), interpersonal, and organizational skills
  • Superior time management skills; ability to provide timely and efficient service
  • High level of accuracy and attention to detail
  • Ability to make timely decisions and act on individual initiative
  • Knowledge of research policies, procedures and guidelines for the major sponsors and the University of Alberta
  • Proficiency in Microsoft Office suite
