Job Description - Flight Coordinator

Since 1994, ACASS has supported a global client base that includes heads of state, VIPs, and Fortune 500 corporations. We are looking for a capable and experienced Flight Coordinator to join our team. Based in our Montreal headquarters, in this full-time role, you will collaborate with a great team responsible for supporting activities related to the 24/7 operation of our aircraft fleet.

A day in your life at ACASS:



  • Evaluate and quickly respond to client inquiries and trip requests.

  • Verify and schedule destination airports that adhere to aircraft requirements such as runway length, customs clearance, and ground handling equipment.

  • Coordinate activities related to managing our fleet (i.e., transmit customs information, handle catering, ground transportation, special arrangements, etc.)

  • Effectively collaborate with other teams, clients, crew members, and service providers across the globe.

  • Track and follow up on aircraft fleet movements.

  • Inform clients of any developments or issues that could disrupt the schedule and offer solutions.

  • Prepare/update trip sheets outlining key details such as FBO, fuel, catering, ground transportation, etc.

  • Conduct fuel price comparisons and arrange aircraft fuel releases.

  • Establish and maintain professional relationships with colleagues and other stakeholders.

  • Support crew during trips.

  • You have strong communication skills (written/verbal) in English.

  • You are skilled at managing multiple projects, tight deadlines, and efficiently prioritizing tasks.

  • You can maintain a calm demeanor in high-stress situations.

  • You are proficient in Microsoft Office Suite software.


Requirements



  • Minimum two years of relevant business experience in a fast-paced environment.

  • Knowledge of, or prior experience in the aviation industry is preferred.

  • Prior experience with project coordination is considered a strong asset.

  • Flexibility to work morning, evening, and night shifts based on 24/7 operational needs.

  • Applicants must be legally authorized to work in Canada and currently reside in the Montreal, Quebec area.
