Job Description - Freight Coordinator

Summary:


The Freight Coordinator is responsible for supporting daily freight forwarding operations and ensuring shipments are processed efficiently and accurately while delivering excellent customer service throughout the transportation process. This role works closely with customers, carriers, customs brokers, truckers, and internal teams to coordinate import and export shipments in accordance with company procedures and customer requirements. The Freight Coordinator will operate within established standard operating procedures while maintaining accuracy, compliance, and timely communication throughout all stages of the shipment lifecycle.



Hybrid Role:
Position requires flexibility to go onsite as needed based on business needs  The onsite location is: Traders Blvd. East Mississauga, ON L4Z 3K7


 


Salary Range: C $54,000 - C $58,000 annually
The actual pay may vary based on several factors, including professional experience, hiring location, skills and competencies.



Supervisory Responsibilities:



  • None


Duties and Responsibilities:



  • Coordinate daily import and export freight shipments in accordance with customer requirements and company procedures.

  • Open and maintain shipment files in CargoWise and ensure all documentation is accurate and complete prior to shipment arrival or departure.

  • Trace shipments daily and provide proactive updates to customers, overseas agents, and internal stakeholders.

  • Arrange bookings with carriers, airlines, steamship lines, truckers, and warehouses as required.

  • Prepare and process shipping documentation including bills of lading, manifests, commercial invoices, and customs-related documentation.

  • Ensure all E-Manifest filings and regulatory requirements are completed accurately and within required timelines.

  • Coordinate pickups, deliveries, and inland transportation with third-party vendors and service providers.

  • Liaise with customs brokers to ensure customs clearance is completed in a timely manner.

  • Monitor shipment milestones and resolve operational issues or delays promptly.

  • Maintain accurate records and update internal systems with shipment activity and status notes.

  • Support billing processes by ensuring files are properly rated and all costs and revenues are entered it accurately.

  • Build and maintain strong working relationships with customers, carriers, agents, and internal departments.

  • Ensure all jobs are processed according to agreed handling procedures and customer SOPs.

  • Assist management with operational reporting and other duties as assigned. As outlined by your Team Leader or Operations Manager.


Required Skills and Abilities:

  • Strong proficiency in Microsoft Office, particularly Excel, Word, and Outlook

  • Excellent verbal/written communication skills


 


Education and Experience:



  • 3 plus years relevant work experience in the freight forwarding industry or logistics field

  • Familiarity with CargoWise’s enterprise system a plus

  • Bachelor’s degree in business, supply chain, or any other related field preferred

  • CIFFA qualifications preferred

  • DG certification preferred


 


Physical Requirements:



  • Prolonged periods of sitting at a desk and working on a computer

  • Must be able to lift to 15 pounds
