Dermalogica is seeking aFront Desk Administratorto deliver exceptional front-line service and provide seamless administrative support.This role is critical in delivering a world-class guest and student experience, supporting education bookings, retail sales, and daily administrative duties. You will work closely with the Education Director and Learning Advisor to support Dermalogica's education strategy.
Key Responsibilities
Front Desk Operations & Student Experience
Serve as the first point of contact, delivering a welcoming, professional experience for all guests, students, and instructors.
Assist with student check-in and check-out for workshops and events.
Assist the Learning Advisors and Instructors with education materials, certificates and resources.
Respond to inquiries via phone, email, and in person, providing accurate information.
Notify appropriate staff members upon guest arrival.
Manage incoming/outgoing mail, courier shipments, and deliveries.
Maintain front desk organization, supplies, and visual standards.
Count student store inventory monthly and ensure there is adequate stock on hand.
Process payments and maintain accurate retail transaction records as needed.
Support events such as media/influencer, trade shows, innovation launches and guest speaker sessions.
Collaborate closely with education, operations, and sales teams to ensure smooth daily operations.
Support reporting, data entry, and documentation as required.
Provide administrative support for special projects, events and initiatives.
Organize all aspects of Undergraduate Student Day: notes, hand-outs, catering and registration of students.
Maintain cleanliness of kitchen/lobby, shared spaces, including loading the dishwasher, running cycles, unloading, and putting dishes away to ensure a tidy and hygienic office environment.
Maintain kitchen supply inventory and place orders as needed.
Support the General Manager with any administration requests.
Skills & Requirements
Strong customer service and communication skills with the ability to represent the Dermalogica brand professionally.
Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Experience working with education learning management systems (LMS) or digital learning platforms.
Ability to use booking tools/portals.
Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with WordPress and Canva is an asset.
Ability to problem-solve and support instructors and students with day-to-day needs.
Positively collaborates with other departments to support interdepartmental communication and other duties outside of the department.
Experience in beauty, wellness, retail, or education administration is considered an asset.
General
This role is NON-AGILE. You are required to be in office Monday-Friday.
Reside within Toronto, Ontario or close surrounding suburbs.
Monday to Friday, 37.5 hours per week 9-5pm; weekends and evenings may be required.
