Job Description - Grants Coordinator

The Tla’amin Nation is a modern, forward thinking, self-governing nation located on the beautiful upper Sunshine Coast (qathet Region).


Position Summary
Job Type:             Full-time, Temporary (Two-year contract)
Hours of Work:    8:30am - 4:30pm, Monday to Friday
Reporting to:       Chief Financial Officer
Department:        Finance



The Grants Coordinator is responsible for the proposal and completion of grant application processes as well as maintaining the compliance of funding policies, guidelines, rules, regulations, and deadlines. This includes the administrative management of grant submissions and the coordinating of reporting of grants to First Nations funders/supporters. The Grants Coordinator will be involved in the development of an internal grant management database.



Key Responsibilities
Performs all duties and responsibilities in accordance with Tla’amin laws, regulations, policies, practices and procedures as directed by the Chief Financial Officer. Maintains confidentiality as required pertaining to Citizens, clients, employees and general matters of the Nation. 



  • Conduct thorough research to identify relevant grants and funding opportunities that align with the goals and priorities of the Tla’amin Nation.

  • Create a system to assess which project, initiative, or department is the best fit for a grant opportunity based on Tla’amin Nation priorities, project readiness, bandwidth of the department, and alignment with the funding program.

  • Communicate grant opportunities to the organization regularly. Ensure key stakeholders are aware and knowledgeable of upcoming funding through open communication and up-to-date funder lists.

  • Meet with stakeholders to discuss relevant grant opportunities, goals, and project requirements.

  • Support stakeholders to prepare application proposals for CAO and/or CFO approval prior to commencing the grant application. This includes obtaining clarification of grant requirements from funders and providing any other documentation requests.

  • Support, in a project management approach, the preparation of grant applications, proposals, and budgets in collaboration with stakeholders, ensuring alignment with the Comprehensive Nation Plan.

  • Maintain accurate records of grants applications, funding allocations, expenditures, and reporting data using appropriate systems and tools.

  • Develop and maintain a grants management framework, including tracking grant deadlines, reporting requirements, and deliverables.

  • Ensure compliance with all grants and funding requirements, including the timely submission of reports, financial statements, and project deliverables.

  • Work within the Finance Department to track and manage grant budgets, ensuring financial accountability and adherence to funder guidelines.

  • Create grant activity reports on a quarterly basis to the CFO and CAO, including percentage of departments or programs funded by grants.



Qualifications


Training, Education, Experience



  • An Undergraduate Degree in a related field from a Post-Secondary Institution.

  • Minimum five years of related experience in grants and contracts management including proposal (grant) writing, program monitoring, and budget development. 

  • Acceptable Police Information Check.

  • Excellent customer service and interpersonal skills.

  • Strong written, verbal, and listening communication skills.

  • Comfortable learning new software and databases.

  • Strong research skills.

  • Positive attitude and effective in working with people at all levels of experience/proficiency.

  • Competent self-starter who takes initiative and works independently.

  • Strong administrative ability with keen attention to detail.

  • Ability to organize, prioritize, and manage multiple projects, and work under pressure to meet deadlines on multiple job assignments.

  • Strong analytical and problem-solving skills.

  • Knowledge of best practices in grant management, reporting, and compliance.

  • Experience with First Nations funding is an asset.

  • Genuine respect for Tla’amin Nation’s history and culture.



Working Conditions
Work is performed primarily in an office environment. Occasional travel to attend meetings or training is required.
