Job Description - House Manager

We are seeking a highly organized and proactive House Manager to join our clients team!

The House Manager is responsible for the overall management, organization, and smooth day-to-day operations of multiple private residences. This leadership role ensures all homes run efficiently, are well-maintained, and provide a high standard of service and comfort to the Principal and their guests. The position requires flexibility, travel, and a proactive approach to household leadership.

This Role includes:

Household Operations

  • Oversee daily functioning of multiple residences, ensuring cleanliness, organization, and readiness.
  • Develop and enforce household systems, schedules, and procedures across properties.
  • Manage property maintenance, including preventive care and repairs.
  • Coordinate household security systems and protocols.

Staff & Vendor Management

  • Hire, train, schedule, and supervise a full-time chef and housekeeper, along with other staff as needed.
  • Conduct regular staff meetings, performance evaluations, and professional development.
  • Manage external vendors and service providers, ensuring quality and timely work.
  • Build and maintain relationships with suppliers and negotiate contracts.

Financial & Administrative

  • Manage household budgets, track expenses, and process invoices.
  • Maintain inventories (supplies, pantry, linens, wine, etc.).
  • Ensure compliance with insurance, safety, and legal requirements.
  • Provide regular reporting and updates to the Principal.

Event & Guest Coordination

  • Plan and oversee private events, dinners, and gatherings.
  • Coordinate guest arrivals, departures, and accommodations.
  • Ensure discretion, hospitality, and a welcoming environment across all properties.

Personal Support to Principal

  • Support the Principal with travel logistics, scheduling, and reservations.
  • Handle errands, special requests, and personal projects.
  • Maintain strict confidentiality and a high level of trust at all times.

Qualifications:

  • Proven experience in household management, luxury hospitality, or estate operations (5+ years preferred).
  • Strong leadership and people management skills.
  • Excellent organizational, multitasking, and problem-solving abilities.
  • Financial literacy and budget management skills.
  • High standards of discretion, integrity, and professionalism.
  • Strong communication skills (verbal and written).
  • Flexibility to work evenings, weekends, and holidays depending on entertaining and travel.
  • Service-oriented mindset with exceptional attention to detail.
  • Calm under pressure, proactive, and adaptable.
  • Tech-savvy with household management software, smart-home systems, and scheduling tools.
  • Knowledge of fine dining, wine, travel, and event standards is an asset.
