Job Description - HR & Payroll Coordinator






Mission for this Position






At Baffinland, we work and live beyond the Arctic Circle, mining iron ore at our Mary River property. Reporting to the Payroll Manager, the HR & Payroll Coordinator provides comprehensive administrative and operational support across payroll, total rewards, and general HR functions. This role ensures the accuracy and integrity of payroll, benefits, and employee data while supporting reporting, analytics, and continuous process improvements. The position is ideal for a detail-oriented professional looking to grow within HR and payroll, with exposure to complex systems, data analysis, and cross-functional collaboration.









Main Accountabilities






Payroll Administration (Primary Focus)
• Support payroll processing timelines to ensure deadlines are met
• Assist with payroll data preparation, validation, and submissions
• Perform basic data checks and support reconciliation activities
• Maintain payroll system data and employee records
• Process employee lifecycle transactions (hires, changes, terminations) under guidance
• Respond to employee payroll inquiries and escalate as needed

 

Benefits & Pension Administration (Support)
• Assist with benefits enrollments and updates
• Maintain employee records with benefit providers
• Support documentation and audit preparation
• Respond to basic employee benefits inquiries, escalating complex cases

 

HR Operations & Administration
• Maintain accurate employee records across HR systems
• Support HR transactions and administrative processes
• Ensure proper documentation and filing practices
• Assist with ongoing HR initiatives and projects

 

Reporting & Data Support
• Assist in preparing standard payroll and HR reports
• Support data validation and basic analysis
• Use Excel to update and maintain reports

 

Process Support & Improvements
• Document existing processes and procedures
• Identify and flag inefficiencies or gaps
• Support implementation of process improvements









Main Qualifications






  • 1 year to less than 3 years of experience in HR
  • Bachelor’s Degree in Human Resources or related field
  • Experience with payroll systems (e.g., ADP, SAP, HCM module)
  • Advanced Excel skills
  • Strong attention to detail and analytical skills

Compensation






The expected salary range for this position is CAD 72,000 to 77,000, aligned with Baffinland’s approved compensation framework and current market conditions.

Salary ranges are provided as guidelines. Final compensation will be determined based on:
• Relevant education and certifications
• Related training and experience
• Internal equity considerations
Baffinland also offers a competitive total rewards package, comprehensive benefits, and a pension.
