Job Description - Human Resources Operations Coordinator

Role Description:

The HR Operations Coordinator provides administrative support to the Canadian Leadership team, putting the employee experience in the center to support effective service delivery, information sharing, and process adherence. This role will support with office management and maintenance and be the first point of contact for employee inquiries, escalating to other members leadership where appropriate.

Reporting to: CPO

Key Responsibilities:

1. Benefits Administration

  • Manage the enrolment of MSP, Benefits and the RRSP/DPSP program
  • Update Work Permits, PR and Bridging Visas, addresses, dependents, and salaries as needed.
  • Notify employees of new changes or updates to plan

2. Employee Experience

  • Full ownership of End-to-end onboarding and off-boarding
  • Support the Talent Acquisition team on drafting offers for recruitment
  • Liaise with hiring managers to plan a positive onboarding experience
  • Own and manage the creation and delivery of our welcome boxes for new hires
  • Draft employee change letters, updated contracts and compensation letters
  • Conduct Background checks as required
  • Maintain bi-monthly payroll tracker and partner with the payroll team for processing
  • Support the Activity & Events Team with event planning

3. Office Management

  • Manage computers, equipment, deliveries and supplies
  • Manage tech hardware inventory and office requirements and partner with Full-tech to commission/decommission tech.
  • Order and replenish office snacks and beverages
  • Act as key contact and liaison with building management to ensure a clean and safe working environment.
  • Manage and update GyanSys’ hybrid work procedures
  • Managing the office voicemail and returning calls as needed
  • Plan and organize office changes such as office moves

4. System Maintenance

  • Own and optimize our Bamboo HR platform and ensure P&C information is accurate, useful and up to date. (ie, streamlining workflows, TIL, Vacation reporting)
  • Update compensation, manager and job title, internal promotions or any employee changes and inform our Payroll team

6. Safety Compliance

  • JOHS Committee member & conducting Worksafe inspections
  • Fire Wardens & First aiders coverage management
