Job Description - Industry Liaison Associate

This permanent position is based in the McGill Engineering Student Centre (MESC), supporting the Software Engineering Co-op Program (https://www.mcgill.ca/ece/undergrad/information/software-engineering-co-op).


Position Summary:
Provide the integration of McGill's values, standards, and goals with respect to student life and learning into University policies, operations and procedures. Ease students’ integration into University life, support students’ learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment. Provide student admissions and enrolment services for undergraduate, graduate, certificates and diploma programs. Participate in student recruitment fairs, student exchange programs, convocation and graduation activities. Oversee government reporting and compliance. Offer a variety of student services including career planning, campus life and engagement, scholarships and student aid, counselling and tutorial, health and mental health, international student services, immigration, services for students with disabilities, religious life, and other programs. Offer student affairs services including advising, student records, registration and exam and invigilation activities. Offer programs related to athletics and recreation.

Primary Responsibilities:

Industry Relations (with employers and alumni)

  • Act as point of contact for companies recruiting Software Engineering Co-op students:
    • Coordinate and assist employers with the internship posting process using the McGill career management system.
    • Monitor the co-op inbox, provide information on the co-op program and recruitment activities through email, phone, in-person or virtual meetings.
  • Promote the Software Engineering Co-op Program as well as related recruitment and career development events to employers, students and alumni. Coordinate participation, engage with them, and support recruitment needs. Coordinate on-site visits and events for students and exceptionally attend as directed by the supervisor

Software Engineering Co-op Program Administration

  • Administer the co-op program, including placement tracking, communications to students and employers, procedures, handbooks and guides. Support Co-op Director with the administration of co-op courses: confirm work term status & collect necessary documentation, clear students for registration. Provide ‘convention de stages’ and tax credit forms, as well as work permit support letters as needed
  • Identify upcoming expenses related to student site visits, career development events and relevant skills development conferences, and trainings for the Co-op programs staff to help the Internship and Co-op Office - ICOO Manager prepare the yearly budget
  • Track student performance in their internship search. Share findings and student challenges with the Software Engineering Co-op Director and with the ECC team in order to identify ways to improve student soft and technical skills and competitiveness
  • Communicate key program milestones to students on an ongoing basis through various platforms: MyFuture, MsTeams, LinkedIn, Survey, orientation session, as well as through the semester co-op orientation session
  • Review and validate internship postings submitted by employers, based on the program criteria. Discuss any ambiguities with the Co-op Director. Obtain clarification from employers if required

Career Development and Guidance

  • Support career skills development and counselling services offered to students through individual and small group appointments, daily drop-ins, workshops and in-class presentations
  • Facilitate workshops and in-class presentations. Update and adapt workshop content when required

Student Outreach and Event Coordination

  • Coordinate and facilitate Software engineering related industry events as directed. Support student clubs and association leaders in organizing their events when necessary and refer them to the correct place for assistance

Other MESC & Engineering Career Centre Activities

  • Assist the Engineering Career Centre team in the implementation of the new career management system and its co-op module, including taking part of the needs assessment sessions with ITS and attending and training sessions
  • Gather required Software engineering co-op related information to be included in the ECC Annual report
  • Assist, support and act as a backup for other MESC and ECC activities, including events support (i.e. TechFair, Open House, etc.)

Other Qualifying Skills and/or Abilities:

We are seeking an autonomous self-starter who enjoys working in a team environment, with the following profile:

  • Experience supporting career skills development and counselling services
  • Experience with the development of content for workshops
  • Demonstrated proficiency in giving presentations, leading workshops, etc.
  • Strong writing and communication skills and experience drafting communications for various audiences using both print and digital media
  • Proficiency in outreach, business development support and in cultivating relationships with employers
  • Experience in event organization
  • Microsoft Suite, including MS Teams
  • Solid knowledge of Excel and experience working with large databases
  • Minerva and Banner
  • Experience using a career management system (Orbis platform or equivalent) is an asset
  • Familiarity with the engineering industry is an asset
  • English and French, both spoken and written
