ABOUT THE ROLE

At EventConnect, our clients are the focus of our teams each and every day. As an Event Management Specialist, you will have the opportunity to work alongside a Procurement Specialist to assist with securing the best hotels and rates for our events and train hotels on our platform to create value for both the hotels and the athletes/families. The Event Management Specialists are responsible for overseeing all aspects of event management in the post-contracting process, including reservation compliance, inventory management, event strategy, and various forms of hotel support.



RESPONSIBILITIES




  • Lead in managing incoming inquiries across the hotel's phone, inbox and live chat, ensuring timely, accurate, and professional responses.

  • Support the EMC team as needed, with incoming inquiries within the Hotels inbox.

  • Contact assigned hotels to confirm reservations, ensuring all booking details (confirmation numbers, guest names, room types, and dates) are accurate for reservations, changes & cancellations.  

  • Monitor and manage event performance for cross-department strategy meetings. 

  • Perform market research

  • Draft, review & approve hotel contracts as required, including assisting with loading contract data into the EventConnect software.

  • Assist our Hotel Procurement Team in following up with outstanding contracts and proposals.

  • Complete full resolution of oversells with Hotel Partners. 

  • Comp room management and compliance. 

  • Onboard new hotels into the network of EventConnect hotels, train hotels on the use of EventConnect software & host webinars.

  • The individual will be expected to provide periodic coverage for the after-hours emergency line and may be scheduled for limited holiday availability as business needs require.



QUALIFICATIONS



  • Friendly, professional, and confident nature both on the phone and through email communications

  • Previous experience with CRM systems 

  • Excellent verbal communication skills to convey information over the phone 

  • Ability to multitask and be agile in a fast-paced environment

  • Knowledge of the hotel industry and brand standards 

  • Accepts and welcomes new challenges

  • Accountable for being a team member and contributing to goals

  • Strong problem-solving skills and the ability to collaborate with others

  • An organized approach to completing your work
