Manager of Administrative Operations
Position: Full-Time, Permanent Reports to: Health Director Organizational Unit: Health Administration Representation Status: Non-Unionized
As part of the Management Team, and reporting to the Health Director, the Manager of Administrative Operations will manage and oversee the front desk services, medical transportation, quality and patient safety and facilities services (maintenance and housekeeping). Oversee contracts for services.
Essential Functions:
Manage and lead employees in the designated departments including assigning work, performance management, hiring, discipline and termination of employees
Oversee and approve all overtime requests to ensure alignment with operational needs and staffing requirements
Ensure operational and organizational effectiveness, including authorization of Purchase Order (PO) requests in collaboration with Finance department to ensure efficient flow
In conjunction with the Manager of Integrated Health Services, research, review and update safety protocols, ensuring a clean and security environment for patients and employees according to Accreditation Canada standards
Monitor patient flow, ensuring timely and efficient delivery of care, respond to patient concerns
Develop, influence and report on key outcomes demonstrating the successful delivery of programs and services
Review and implement Human Resource policies and have access to confidential labour relations and financial information
Oversee building maintenance needs, agreements, and utilization for all health buildings.
Participates in committees and project teams.
Day to day administration in digital tools including electronic medical record, BambooHR, cybersecurity and hardware support in collaboration with physicians, IT Manager and HR Manager to support clinical and administrative needs
Oversight in collecting and analyzing clinical and non-clinical data to support reporting and planning.
Participate in planning and design consultations in collaboration with the Health Director to support program and facility development
Lead emergency preparedness activities, including the development and implementation of emergency response protocols and procedures.
Manage privacy and confidentiality practices, including the development, enforcement and auditing of privacy policies for Electronic Medical Record (EMR) system.
Qualifications:
Bachelor’s degree in business or any health-related discipline.
Minimum of three (3) years comprehensive operations management and people leadership experience in a healthcare environment.
Formal training and extensive applied experience with electronic medical records (EMR) systems, administration and related privacy requirements.
Experience in project management, leading work teams, staff supervision and conducting in-depth policy research and analysis.
High level of professionalism, including confidentiality, discretion, and ability to produce high-quality work with good writing skills
Advanced skills in MS Office, Adobe Pro, and spreadsheets
Completed Criminal and Vulnerable Sector Records Check
Valid Driver’s License
Ability to speak and understand Mi’kmaw, an asset.
