Position Summary

Reporting to the Maintenance Manager, the Maintenance Planner / Relief Supervisor plans and coordinates maintenance activities to ensure University facilities, equipment, and systems operate safely, efficiently, and reliably. The position develops work plans and schedules, coordinates materials, contractors, and resources, manages preventive maintenance and work order backlogs, and plans outages and shutdowns. The role also provides relief supervisory coverage during absences, emergencies, major events, and periods of increased operational demand, supporting the effective delivery of campus maintenance services.

Key Responsibilities

• Review maintenance requests and work orders, define scope, and identify required labour, materials, tools, equipment, and permits. 


• Coordinate trades, contractors, equipment, materials, and other resources to ensure work is properly planned and ready for execution.


• Review and prioritize maintenance backlogs, identify aging or deferred work, and support supervisors in establishing maintenance priorities.


• Coordinate contractors and external service providers, including scopes of work, quotations, scheduling, access, and documentation.


• Plan and coordinate maintenance shutdowns, service interruptions, and equipment outages while minimizing disruption to campus operations.


• Maintain accurate CMMS information, including asset records, maintenance plans, work histories, job plans, and other maintenance data.


• Monitor maintenance performance, preventive maintenance completion, backlogs, and other key indicators to identify opportunities for improvement.


• Support continuous improvement of maintenance planning, scheduling, reliability, and work processes.


• Provide relief supervisory coverage during absences, emergencies, major events, and periods of increased operational demand, including work assignment, employee coordination, safety oversight, and response to urgent issues.

Qualifications

• Post-secondary education in a relevant discipline such as facilities management, mechanical or electrical technology, engineering technology, or a related field, combined with relevant maintenance experience.


• Several years of progressive experience in maintenance planning, scheduling, work preparation, or facilities operations, preferably in a complex institutional or commercial environment.


• Strong knowledge of maintenance planning principles, preventive maintenance programs, work order management, and computerized maintenance management systems (CMMS).


• Demonstrated ability to coordinate trades, contractors, materials, equipment, and resources while managing competing priorities and operational requirements.


• Strong organizational, problem-solving, communication, and interpersonal skills, with the ability to work effectively with trades staff, supervisors, contractors, and campus stakeholders.


• Experience providing or supporting supervisory coverage, with a demonstrated commitment to workplace safety, regulatory compliance, and effective maintenance practices.
