The Role


Anderson Air is looking for a full-time on-site Manager of Flight Coordination to join our dynamic team! The Manager of Flight Coordination leads the operational heart of Anderson Air, the Flight Coordination department. This role is responsible for overseeing our flight coordination team, which is responsible for client communication, trip setup, scheduling, and real-time operational execution to ensure safe, compliant, and efficient flight operations.


 


Reporting to the Director of Flight Operations, the Manager of Flight Coordination plays an essential role in delivering on our overall mission of service excellence. While the foundation of this position is strong operational expertise, the successful candidate understands that exceptional flight coordination directly supports the client experience. This role requires the ability to balance operational precision with a service-first mindset, ensuring every flight is executed with both technical accuracy and a commitment to excellence.


 


This position requires deep aviation knowledge, confident decision-making, and the ability to perform effectively in a fast-paced, high-pressure environment.



Your Responsibilities


Team Leadership & Development



  • Provide leadership, mentorship, and coaching to the Flight Coordination team, establishing clear standards for service excellence and operational accuracy.

  • Oversee scheduling and resource allocation to ensure 24/7 coverage and support for all aircraft management and charter trips.

  • Provide leadership presence during irregular operations (IROPs), ensuring quick resolution and client-focused communication.

  • Support recruiting, onboarding, training, and performance management of team members.



Operational Oversight



  • Collaborate with Operations and the Flight Coordination team to ensure all trip logistics are executed accurately — including routing, permits, ground handling, fuel, catering, crew scheduling, and customs/immigration arrangements.

  • Work with the Manager of Client Relations to monitor key operational metrics such as on-time performance, client satisfaction, and regulatory compliance.

  • Ensure flights are released according to company policy, Transport Canada regulations and safety management standards.

  • Act as the escalation point for last-minute changes, schedule disruptions, or irregular operations, ensuring minimal impact to clients and owners.

  • Support Safety Management System (SMS) processes and reporting, and participate in internal and external audits



Process & Service Improvement



  • Review trip coordination processes regularly to identify inefficiencies, risks, or areas for improvement.

  • Maintain and update Standard Operating Procedures (SOPs) and ensure staff adherence to them.

  • Work with the Manager of Client Relations on post-trip debriefs and incident reviews to capture lessons learned and implement corrective actions.

  • Partner with Quality Assurance, Client Relations, Flight Operations, and Maintenance teams to ensure the highest standards of operational compliance.



Strategic & Administrative Duties



  • Prepare reports on trip metrics and department performance for leadership review.

  • Assist with budgeting, forecasting, and departmental resource planning.

  • Represent the Flight Coordination department in management meetings and contribute to strategic planning for aircraft management growth and service expansion.


 


Who You Are


Our ideal Manager of Flight Coordination is someone who has:



  • Exceptional attention to detail.

  • Strong organizational skills – multitasking, priority management and proactivity.

  • Exceptional verbal and written communication skills with proficiency using Microsoft Office Suite.

  • Excellent interpersonal skills, the ability to collaborate effectively in a team.

  • Flexibility to handle rapidly changing situations and frequent interruptions.

  • The ability to work under pressure and manage stress in a fast-paced environment.

  • The ability to project the highest standards of ethics and professional conduct as a representative of the Company both internally and externally.

  • Deep understanding of aircraft management, charter operations, flight logistics, and Transport Canada regulations.

  • Minimum 3-5 years in client services, flight coordination, or operations in business aviation

  • Minimum 2–3 years’ experience in a managerial role, with the ability to lead within a 24/7 shift-based environment.

  • Proven ability to develop teams, manage performance, and foster collaboration across departments.

  • Experience managing high-touch relationships with aircraft owners and charter clients.

  • Proficient in crew duty/rest requirements, permitting, customs, and ground handling.

  • Proficiency with flight operations and quoting software (e.g., Avinode, FOS, etc.), and Microsoft Office Suite.

  • Degree or diploma in Aviation Management, Business Administration, or equivalent work experience preferred.


 


While this is anticipated to be a Monday – Friday position, the candidate must have the ability to work a flexible schedule. This includes on-call, evenings, weekends and holidays if required.
