Job Description - Marketing and Proposal Specialist

Our Marketing team plays a pivotal role in supporting both our internal team and clients by offering a range of services and strategies tailored to market outreach, expansion, and storytelling. As an integral part of all O2 business development initiatives, the team is dedicated to identifying and capitalizing on new market opportunities, establishing key partnerships, and driving business expansion. By fostering a collaborative culture that encourages creativity, teamwork, and ideation, the team delivers innovative solutions and successful implementations of initiatives.
O2’s Calgary office is in search of a Marketing and Proposal Specialist to support marketing and business development efforts across Calgary, Edmonton, and Toronto offices, reporting to the Marketing and Business Development Manager. You will collaborate with senior staff and assist with strategy development, planning, and execution for pursuits. The role will require writing and preparing responses to intricate proposals, adept research skills to gather and analyze information from RFPs, RFQ, and internal subject matter experts. As a collaborative team player, you will work alongside sub-consultant teams, secure approvals, and deliver proposals along with support documents to clients, showcasing your ability to handle multiple tasks effectively.
Key Responsibilities
·        Organize tasks related to researching and monitoring websites and publications to identify potential project opportunities.
·        Review and interpret RFP and RFQ documents to identify the requirements for bid submissions.
·        Facilitate proposal kick-off meetings to identify deliverables, deadlines, and team alignment.
·        Contribute data and materials for submissions, requests for information, and proposals.
·        Analyze RFPs and lead strategy sessions to formulate proposal ideas and document structures.
·        Manage bid team timelines, set priorities, gather information, draft, review, and secure approvals.
·        Act as main point of contact with the client to address inquiries and requirements regarding proposal deliverables.
·        Collaborate with practice area leaders and senior staff on inputs from technical experts, consultant disciplines, and scope/fee submittals.
·        Work with proposal team to incorporate graphics and visuals into proposal submissions.
·        Coordinate proposal follow up, internal and schedule client debriefings.
·        Assist in preparing award submittals, brochures, social media, and other collateral materials, as required.
·        Contribute to the management of proposal resources, including maintaining a repository of supporting materials such as boilerplate content, executive summaries, and project descriptions.
·        Work together with the team to provide recommendations for enhancing departmental and firm wide procedures and processes.
·        Assist with other marketing and proposal related duties as assigned.

Qualifications

Candidates should have a post-secondary degree or diploma in Communications, Marketing, English or related field. In addition, candidates should have:
·        Three (3) or more years of prior work experience in a related position within architectural, engineering or construction firm preferred.
·        Essential requirements include strong collaboration skills, a proactive mindset, and the ability to thrive in a team-oriented environment, actively engaging staff at all levels in business development and proposal activities.
·        Strong verbal communication, active listening skills and interpersonal skills
·        A proven track record of written communication skills as well as strong editing and proofreading skills
·        Experience with the following computer applications is a requirement: InDesign, Acrobat, MS Word, Excel, PowerPoint and Outlook. 
·         Experience with Photoshop, Illustrator considered an asset. 
·         Able to work flexible hours, when required.
