Job Description - Marketing & Events Coordinator


Reporting to the Director of Athletics, the Marketing and Event Coordinator provides administrative and management support for the Director, Athletics Coordinator, and coaches. The position is responsible for marketing and game day events, managing game day finances, and assisting as necessary with the day-to-day management of the J. B. O'Keefe Fitness Centre.

Term: Permanent

Hours of work: Full-Time (35 hours per week)

Classification/Level: Band 5, Union

Qualifications
  • A bachelor's degree; preferably in sport administration, sport marketing, or a related background.
  • 2 years but less than 4 years of marketing and event planning experience.
  • Experience in marketing and promotions for athletic events preferred.
  • Experience in risk management in sports venues and athletics environment.
  • Understanding of basic accounting principles (including the importance of ensuring accurate and timely recording of Athletics' revenues and expenditures) and strong analytical skills.
  • Knowledge of various sports governing bodies would be an asset.
  • Knowledge of the University's programs, regulations, services, and character.
  • Strong written and oral communication, problem solving, and organizational skills.
  • Experience in using word processing and spreadsheet programs.
  • Excellent interpersonal skills.
  • Initiative and ability to organize and complete work assignments with minimal direction.
  • Thorough knowledge of modern office equipment, processes, and techniques.
  • Ability to interpret and apply rules, regulations, and instructions.
  • First Aid, AED, and CPR training.

Working Conditions:

  • Regular requirement to work under pressure to meet deadlines and to have irregular work hours (evenings and weekends); may be required to work a varied work week due to the nature of university athletics and game day operations.
  • Awareness of a variety of activities which are proceeding simultaneously.
  • Conflicting demands may cause stress.
  • Frequent interruptions from students, visitors, and telephone calls.
  • Some travel may be required.
  • May represent the University as required to outside organizations.

Responsibilities
  • In cooperation with the Director of Athletics, operationalize an integrated revenue strategy targeted at increasing overall revenue generation of the department, game day and special events, through: marketing, sponsorship, fundraising, ticket sales and pass sales.
  • Ensures the delivery of quality game day events including tickets, game day programs, promotions, and the hiring and supervision of all event staff. Assists Athletics Coordinator in the organization of special events as required.
  • Prepares deposits related to game day operations, prepares requisitions for bill payments, prepares invoices when required and distributes to appropriate parties, and reviews expense reports and receipts.
  • Responsible, with assistance from the Director and Athletic Coordinator when needed, to book facilities, officials and/or other staff needed for practices, games, and events.
  • Liaises with Director and Sports Information Officer on departmental strategy/delivery and assists with sports information requirements, including but not limited to: schedule posting and changes, championship bulletins, game scores and stats, game sheets, webcasts, and media.
  • Communicates correct game schedules for all teams to relevant stakeholders (assists the Director of Athletics in establishment of schedules when required).
  • Represents the University as required and requested by the Director of Athletics to outside organizations.
