Job Description - Medical Office Assistant

EMPLOYMENT


OPPORTUNITY


1 Full-Time (New Position)


Medical Office Assistant



We provide primary health care through a range of options including prevention, assessment, diagnosis, and treatment. Our interprofessional teams include health professionals, educators and support workers representing both traditional Indigenous and contemporary models of care and using wholistic health and community development concepts.


 


 This position supports continuity of care by providing administrative support to primary care providers and ensuring accurate, timely management of client information and provider workflows. Specific areas of responsibility include electronic health record maintenance, appointment coordination, client follow-up, preventative screening recalls, chronic disease management support, and panel management activities.


 


NOTE:  Traditional practices involving burning sacred medicines including tobacco, sweetgrass, sage and cedar and other cultural protocols occur regularly within our work setting.



 PRIMARY DUTIES / RESPONSIBILITIES:




  • Provide administrative support to primary care providers through management of appointment schedules, forms, correspondence, requisitions, referrals, and workflow processes.

  • Maintain electronic health records in accordance with organizational policies and procedures, ensuring complete, accurate, and timely documentation.

  • Coordinate provider-directed client follow-up activities, including appointment reminders, recall processes, communication of provider instructions, and tracking of outstanding care requirements.

  • Support preventative screening initiatives, chronic disease management activities, and panel management processes through maintenance of recall systems and client outreach activities.

  • Monitor and process incoming clinical documentation, diagnostic reports, consultation notes, and other information to support continuity of care.

  • Participate in quality improvement activities, data collection processes, and EMR optimization initiatives that support effective service delivery.

  • Maintain effective communication with providers, Operational Support staff, and interprofessional teams to support coordinated client care.

  • Participate in team meetings, training activities, and organizational initiatives that support continuous improvement and organizational priorities.

  • Other duties as required. In extenuating situations or in the event of an emergency, may be redeployed to ensure provision of essential services.


 


QUALIFICATIONS:


 



  • Diploma or certificate in Medical Office Administration, Health Administration, Office Administration, or a related field; equivalent education and experience may be considered.

  • Minimum two years experience in a health care, community health, or primary care environment preferred.

  • Demonstrated knowledge of medical terminology.

  • Experience with Electronic Medical Record (EMR) systems and electronic scheduling systems.

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

  • Demonstrated oral and written communication skills.

  • Excellent interpersonal skills and customer service orientation.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Deep understanding and experience of Indigenous culture, values, and perspectives and relevance in a workplace; ability to speak and understand Anishinaabemowin a definite asset;

  • Experience working in an Indigenous organization; understanding and/or willingness to learn of Indigenous culture and values;

  • Proof of immunization in compliance with policy requirements is mandatory;

  • Valid drivers’ license, own vehicle and willingness and ability to travel required;

  • Criminal records check and current drivers’ abstract required;

  • Commitment to ongoing training and professional development relevant to job requirements;

  • Positive attitude and capacity to act as a healthy lifestyle role model.


 


Salary: $56,886 – $74,224 with excellent benefits, including HOOPP pension plan. Salary is based on education and experience.
