About You

You are responsible for spearheading and supporting space management and occupancy planning initiatives tailored to align with client-specific business goals and cultural values. You will play a pivotal role in supporting all aspects of space management and occupancy planning, including coordinating meetings, conducting reviews, compiling summaries and reports, tracking KPIs, creating occupancy plans, providing support to clients, and ensuring accurate database management. Also, you are involved in tactical planning, relationship management, and executing upon innovation and continuous improvement opportunities.

  • Support the development and execution of global occupancy and stacking strategies, ensuring alignment with business needs, corporate objectives, and ESG goals

  • Manage global portfolio planning, including site selection, space optimization, and footprint rationalization

  • Forecast space requirements using business direction and market conditions and translate into executable plans and migration schedules

  • Oversee complex multi-scenario planning, financial modeling, and risk assessments for space utilization

  • Generate conceptual solutions that address spatial, IT, HR, and compliance requirements

  • Produce visual and data-driven reports on workplace efficiency and effectiveness, including KPIs and success metrics

  • Gather, compile and analyze internal data sets to synthesize project requirements and workplace needs

  • Assist in the preparation of reports and stakeholder presentation materials to share strategies and progress updates

  • Work closely with clients or internal stakeholders to collect information and create various workplace scenarios, considering factors like growth, reorganization, and adherence to corporate standards.

  • Verify accuracy of space data by conducting reviews and updates to reflect new details and as-built information.

  • Meet with business partners to retrieve and collect their business strategies and demand forecast information, including collecting headcount forecasts and resolving headcount discrepancies.

What you’ll bring

  • Occupancy Planner: 3-5+ years in corporate real estate, facilities, or workplace strategy, preferably in financial services.

  • Experience managing occupancy planning across multiple countries or regions.

  • Strong analytical, communication, and stakeholder engagement skills.

  • Project management experience with cross-functional and cross-border teams.

  • Knowledge of regulatory and compliance standards related to workplace environments.

  • Supports strategic planning and execution across multiple corporate offices and operational hubs including dispersed sites in Canada and internationally

  • Manages occupancy data and stacking plans for a portfolio of floors and business units, supporting thousands of employees across diverse lines of business.

  • Oversees migration planning, space forecasting, and utilization reporting to inform executive decision-making

  • Bachelor's degree in a relevant field (e.g., Real Estate, Business, Analytics, Workplace Strategy, Research) required.

  • A team-oriented mindset and be as comfortable working alone as working with a broader team.

  • Strong written & verbal communication, presentation, data collection, and facilitation skills are essential.

  • Must be process-oriented and self-motivated, with the ability to establish and adhere to goals and objectives.

  • Strong knowledge of PowerPoint, Word, Excel, and Teams, ability to analyze a variety of data sets.

Approximate Salary Range for Role: $70,000 to $89,000 CAD.

Our salary ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all Canada locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
