Job Description - Office Administrative Assistant

This professional accounting firm (also known as Mike Kao Ltd) provides safe and hassle-free work environment where a team of professional accountants and the office staff work well together to meet their clients’ business needs and taxation deadlines (busy year-round).


Job duties:



  • Perform word processing duties for the partners including the preparation of correspondence with clients and CRA as required.

  • Maintain files and records with an orderly filing system (both electronic and hard copy), including scanning duties to ensure documents are filed electronically in a timely manner.

  • Answer general inquiries by telephone and email, and greet clients in a professional manner.

  • Receive, sort, and distribute income and outgoing mail, faxes, and courier documents.

  • Responsible for the upkeep of the office including maintaining office and kitchen supplies,keeping the office and kitchen clean and tidy, coordinating staff functions, etc.

  • Provide administrative support to the partners and staff as required.

  • Communicate with vendors and clients as required.

  • Process accounts payable and ensure accounts payable are paid in a timely manner.

  • Process accounts receivable, including the preparation of invoices and processing of credit card and cheque payments.

  • Manage and reconcile daily financial transactions, including bank deposits, credit cards, and online transactions.

  • Prepare daily cash summary and monthly bank reconciliations.

  • Assist partners and staff in external client file work as required to ensure filing deadlines are met.

  • Ensure partners and managers are informed of work status on a regular basis.


Employment requirements:



  • College diploma or certificate (an asset)

  • At least one year of prior office experience

  • Knowledge and proficiency in excel/windows/words

  • Work well with others

  • Organize, work under pressure, able to meet deadlines

  • Good communication skill

  • Attention to detail

  • Numerical skills (an asset)

  • Skill to prioritize workload (an asset)


Language: English essential



Wage: $48000- $53000 per year; 35 hours per week; permanent position


Start Date: May 1, 2024


Benefits: 2 weeks pay vacation; overtime rate in accordance with B.C. Employment Standards; Annual performance review and salary review;
