Job description


ZML Holdings Group Corporation is a real estate investment and management company with the head office in downtown Vancouver.


We are currently recruiting an Office and Property Administrator. The position reports to the Office Manager and Property Manager.


The position will be providing outstanding administrative services and will fully support to the Property Management team, ensuring accurate administration of our commercial portfolio.

Duties & Responsibilities


· Keep accuracy on documents translating and record keeping;


· Draft and update policies, procedures and other documents;


· General administrative duties;


· Guest reception and recording;


· Provide administrative support to all departments;


· Make business travel arrangements and bookings;


· Place and expedite orders of supplies and tracking assets and supplies inventory;


· Office equipment and environment maintenance;


· Processing and distributing mails and incoming packages or deliveries;


· Arranges meetings by scheduling appropriate meeting times, booking boardroom;


· Discover errors and timely solve problem and report mistake;


· Ensure security, integrity and confidentiality of company‘s information, handle sensitive information in a confidential manner;


· Drafting correspondence, contracts, forms, memos, Lease Agreements, Lease Extension and Amendment, and other documents when required, on tight deadlines and efficiently;


· Assisting with gathering quotes and other information for maintenance and capital projects;


· Coding of invoices, preparing contract information and project information for budgeting;


· Communicate with tenants, Owners, and contractors/vendors;


· Assist with collecting rent and resolving arrears;


· Assist with completing monthly tenant chargebacks;


· Assist with special projects upon request;


· Assist with owner’s personal matters;


· Documents translation as directed;


· Performing other duties as assigned by management


Knowledge, Skills & Qualifications:



  • 2+ years of property administration experience;

  • Completion of high school diploma is required;

  • Proficiency in both Mandarin Chinese and English are required;

  • Good knowledge of MS Office products (Word, Excel, PowerPoint, Outlook, etc.) is required;

  • Experience in property administration, with exposure to different types and sizes of commercial properties are significant assets;

  • Familiarity with Yardi is an asset;

  • Comfortable in new situations, ability to multitask and prioritize, detail oriented, and a proactive team player.”


Salary depends on experience


Job Types: Full-time, Permanent


Pay: From $50,000.00 per year
