JOB SUMMARY: The Agency is assisting a confidential client in the recruitment of an Office Manager to support their operations in Grande Prairie.
The Office Manager plays a key role in maintaining organized systems, managing financial workflows, and supporting operational effectiveness. This opportunity is ideal for a proactive, detail-oriented professional who enjoys variety and thrives in a fast-paced, team-focused environment.
RESPONSIBILITIES:
Manage daily office operations including phones, mail, supplies, and general organization
Maintain electronic and paper filing systems, company manuals, and internal documentation
Coordinate meetings, prepare agendas, and record minutes
Track and renew company insurances, permits, registrations, and memberships
Maintain spreadsheets related to purchase orders, work orders, and operational tracking
Provide administrative support to Project Managers, including assistance with quotes, bids, and client service scheduling
Accounts Receivable and Accounts Payable processes including data entry, invoicing, collections, reconciliations, and vendor management
Process payroll, Records of Employment, and government remittances including GST/PST, T4s, and WCB / WorkSafe BC reporting
Prepare and organize documentation required for year-end accounting
Support recruitment activities and onboarding of field employees
Maintain safety compliance records and related platforms
Ensure overall office efficiency, including completing occasional errands such as supply purchasing or bank deposits
REQUIREMENTS:
Previous experience in office administration, office management, or accounting support
Experience managing accounts payable, accounts receivable, and payroll processes
Strong organizational, multitasking, and time-management skills
Proficiency with Quickbooks Online, spreadsheets and general office software
High level of accuracy and attention to detail
Ability to work independently and take initiative
Strong communication and interpersonal skills
Experience supporting project teams or working in an industrial or trades environment is an asset
Familiarity with safety compliance platforms is considered an asset
