Office Manager
Our client, a premier used car dealership group with 14 locations in Alberta, pride themselves on being a company of opportunity and offering Albertan’s quality, pre-owned vehicles and access to a very well-known credit rebuilding program. Over the years, they have grown from a single location to 14 location across Alberta. With over 1,000 vehicles in their inventory, Parts & Service Centres and a Finance Department, they are your one stop shop for purchasing and servicing your vehicles. Their mission is to educate customers about their credit score and the importance of credit in general. They look forward to serving customers for years to come.
About The Role
We are currently seeking two experienced and detail-oriented Office Managers to join our team and ensure the smooth and efficient operation of our dealership’s administrative functions. We are looking to fill this role in: Leduc, Alberta.
Responsibilities
Office Administration:
Provide direct administrative and office management support to all staff as directed or required.
Maintain and enforce dealership policies
Oversee daily administrative tasks, including filing, record keeping and maintaining an organized office space. Other duties such as: ordering supplies, answering phones and emails, new hires and terminated employee paperwork, emails and login management, etc.
Customer Relations
Address & respond to all customer reviews in a courteous, professional & timely manner
Financial Management
Manage financial transactions, including cash handling, checks, and credit card payments.
Ensure accurate accounting, including the reconciliation of daily sales.
Payroll & HR
Administer payroll on a bi-weekly basis and maintain personnel records.
Commissioning all deals for profit and payroll processing.
Assist in onboarding process for new hires.
Basic HR duties and enforcement of employee standards
Inventory Control
Work closely with the sales and service department to maintain inventory (Stocking in, tagging, website management, and stock lists)
Monitor and manage inventory of office supplies, promotional material, and other dealership-related items.
Documentation And Reporting
Prepare and maintain various reports and documents, such as sales reports, customer data, and financial records.
Vendor Management
Liaise with suppliers, service providers, and contractors to ensure timely deliveries and maintenance of office equipment.
Compliance And Regulations
Ensure compliance with all local, provincial and federal regulations related to automotive sales and operations.
Team Support
Collaborate with other departments, including sales and service, to support their administrative needs and provide assistance as required.
Assist salesperson with deal organization and delivery of vehicles
Customer Billing & Follow-Up
Generate customer invoices and assist in billing inquiries
Follow-up on customer payments.
Qualifications
Bachelor’s degree in business administration or a related field is preferred.
Proven experience in office management or administration, preferably in an automotive dealership or similar industry.
Strong organizational and multitasking skills
Excellent communication and interpersonal skills.
Friendly, service-oriented demeanour.
Professional environment, must
Proficiency in office software (Microsoft Suite, including Excel)
Knowledge of dealership specific software is a plus
Familiarity with automotive dealership and processes is preferred.
