Job Description - Office Manager

SUMMARY
Develops and maintains the administrative and accounting functions for all dredging and/or construction projects. Candidate must be able to effectively perform all administrative and accounting functions directly at time of startup of projects, during projects, and the closeout of projects with a high level of organizational skills and initiative.

ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following, additional duties may be assigned:

  • Create/maintain Project Central Filing system according to Manson Contract Administration Guidelines. Must have a general understanding of standard submittal processing, project document control and administration
  • Create and maintain Accounts Payable/Purchasing records according to Manson Contract Administration Guidelines and company policies. Must have general knowledge of making expendable material purchases through a requisition process, invoice processing for payment, basic shipping and receiving
  • Create and maintain Payroll records according to Manson Construction Administration Guidelines. Must gather and maintain timesheets, assist Project Manager to ensure proper coding for weekly payroll entry, and monitor Certified Payroll requirements according to Contract Specifications
  • Assist Project Personnel in preparation of pay estimates, subcontractor accruals, and cost reports. Assist project personnel with monitoring Subcontractor insurance and equal opportunity requirements
  • Basic understanding of Contracts, Subcontracts, and Insurance for construction and/or dredging projects
  • Process New Employee sign ups and orientation and perform basic personnel administration activities
  • Maintain Petty Cash flow/receipts/reimbursements. Order office supplies
  • Assist with answering phones, faxing, copying, and scanning, Process daily mail
  • Ensures compliance with Manson’s Code of Ethics and Standards of Business Conduct
  • Responsible for practicing safe work standards and promoting an Incident and Injury Free (IIF) work environment as a condition of employment

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Associates Degree and experience in general project administration, project accounting and payroll procedures or equivalent combinations of training and related experience. Office management experience preferred.

CERTIFICATES, LICENSES, REGISTRATIONS
Must have a valid Driver’s License and acceptable driving record.

COMPUTER SKILLS
Working knowledge of Microsoft Office Suite (Word, Excel, Outlook) required. Experience with Adobe Acrobat, SharePoint and payroll systems preferred.

PHYSICAL DEMANDS
Position is primarily an office position, performs work at a desk. The employee is frequently required to sit for extended periods of time. The employee is occasionally required to stand, walk, use stairs, ladders, and step stools and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and may occasionally lift and/or move up to 25 pounds. Employee must be able to wear the personal protective equipment (PPE) in order to conduct job site visits (hard hats, personal floatation devices, safety glasses, gloves, safety-toed shoes, respirators, etc.), and able to navigate stairs, ladders and gangways, board, work on and disembark floating vessels and structures.
