Job Description - Office Manager -Non For Profit

Are you an experienced Office Manager or Executive assitant? Do you enjoy working for a non-profit organization?

We have an exciting opportunity for a four-month contract full-time Office Manager with a non-profit organization that stands up for freedom, equality, and a better future for all people in Canada.

This is an entirely on-site role in downtown Toronto, and it's Monday to Wednesday.

We are looking for someone with top-notch communication skills and experience with executive assistants or office management.

Responsibilities
Office Management Tasks:
-Keep office space and technology running efficiently by providing resources, tools, and initiatives.
-Handle communications triage for public requests, forwarding emails, deliveries, and phone calls.
-Manage deliveries/mailings to and from the office.
-Recommend and implement technology solutions to improve operational effectiveness.
-Organize and maintain filing and document management system on Office 365/SharePoint.
-Manage onboarding, orientation process of new hires, and departure protocols.
-Responsible for organization and tidiness of shared office space.
-Act as the point of contact for building management.
-Manage some expense receipts and limited bookkeeping/data inputting assistance.
-Manage volunteer intake and coordinate volunteer assignments within the organization.

Executive Assistant Tasks:
-Support the ED’s role and be her primary contact and liaison internally and externally.
-Ensure effective management of the ED’s calendar, events, media, and appointment booking.
-Assemble and manage materials for quarterly Board and National Council Meetings.
-Support the development and implementation of events and projects.
-Conduct research as required for various initiatives.

Qualifications
-Administration Diploma or equivalent experience.
-Minimum 3-5 years administrative experience, preferably in the professional services industry.
-Great written and verbal communication skills.
-Strong computer skills, including MS Office Suite and Slack.
-Customer service oriented with the ability to interact professionally by email, phone, and face-to-face.
-Discretion and ability to organize and prioritize multiple tasks under tight deadlines
