Job Description - Operations Support Coordinator Children and Family Services

Operations Support Coordinator – Children and Family Services



Location: #200-12308 111 Ave, Edmonton, AB


Closing Date: Until Suitable Candidate is Found


Position Status: Full time (40 hours/week), Permanent



Reporting to the Senior Operations Manager, the Operations Support Coordinator plays a key role in enhancing the capacity of the Child and Family Services (CFS) department through culturally grounded, workforce and professional development. This position is responsible for streamlining the CFS staff onboarding process, coordinating practicum students, facilitation of cultural awareness training sessions, and coordinating team building opportunities through culturally relevant and engaging activities. The successful candidate will also identify training needs, book and develop staff training sessions and create supporting materials. Additional responsibilities include managing program materials and inventory, maintaining vendor relations, organizing departmental templates and drives, and supporting administrative tasks. A strong understanding of Métis culture and values, combined with exceptional organizational, communication, and relationship-building skills, is essential to this role.


 


Key Responsibilities:



  • Support coordination of staffing and operational logistics by collaborating with internal departments to ensure smooth onboarding, workspace setup, and resource allocation.

  • Regularly update materials to reflect evolving best practices and department needs.

  • Plan and deliver internal training and Métis-specific learning opportunities.

  • Support team building and culturally relevant engagement activities.

  • Facilitate in-person and virtual cultural awareness sessions, ensuring smooth execution from logistics to technical support.

  • Implement outreach strategies for external cultural training requests.

  • Manage learning management system (LMS) platforms, track training attendance and completion, generate reports, and provide insights to support decision-making and continuous improvement.

  • Explore meaningful opportunities for participation in engagement and events.

  • Coordinate program outreach to internal and external stakeholders, ensuring consistency and alignment across the department.

  • Support the coordination of program planning across the department by obtaining quotes, booking venues, securing rentals, and other tasks as required.

  • Maintain departmental resources, manage program inventory and vendor relations, and support invoice processing, expenses, and documentation management.

  • Other duties as required or assigned.


 


Skills & Competencies



  • Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture, people, and values.

  • Exceptional interpersonal, verbal, and written communication skills, and an ability to effectively produce professional documents, reports, and presentations.

  • Proven experience in developing and implementing programs, including planning and facilitating community engagements, workshops, training, and presentations.

  • Ability to facilitate presentations, provide and receive feedback, and foster positive relationships with diverse stakeholders.

  • Excellent organizational and time management skills, with the ability to be flexible and allocate time and resources effectively.

  • Strong ability to maintain confidentiality when handling sensitive information.

  • A proven track record of building collaborative, positive relationships with a variety of internal and external stakeholders, including clients, industry, service providers, and community.

  • Ability to maintain a positive, helpful attitude and be empathetic and non-judgmental when assisting Métis Albertans.

  • Ability to adapt to changing priorities and requirements in fast-paced or high-pressure environments.

  • Ability to work independently and in a team environment.

  • Political and cultural sensitivity.



Qualifications



  • Post-secondary Degree/Diploma in Social Sciences, Health Sciences, or related field.

  • Two (2) years’ experience working in the Human Services field.

  • Indigenous Awareness Training is an asset.

  • Working knowledge of the Child and Youth Enhancement Act, Freedom of Information and Protection of Privacy Act and Protection of Personal Information Act.



Other Requirements



  • The position will be based in Edmonton.

  • Ability to work a regular schedule from Monday – Friday, 8:30 AM – 4:30 PM, with occasional evenings and weekends as required.

  • Some travel within Alberta is a requirement. Additional less frequent out-of-province travel may also occur, with notice.

  • Must have a driver’s license and an operational vehicle.

  • Clear Vulnerable Sector Police Information Check with renewal every two years is required.

  • Clear Child Intervention Record Check with renewal every two years is required.
