This role is based in London, Ontario and requires in-person attendance at the office. Candidates should be currently located within commuting distance or willing to relocate.
About the Role
In this role, you will play a key part in supporting our expanding residential operations. You will manage the administrative functions that keep our properties running efficiently, while also supporting arrears management, collections, notices, tribunal matters, and related legal processes.
Key Responsibilities
Manage arrears administration, including tracking outstanding balances, preparing follow-ups, and maintaining accurate records
Prepare, issue, track, and organize tenant notices in accordance with applicable legislation and internal procedures
Support tribunal-related matters, including preparing documentation, organizing evidence, tracking timelines, and coordinating required follow-up
Assist with collections processes, payment arrangements, arrears reporting, and communication with residents
Maintain complete and accurate legal, compliance, and tenant files
Support leasing documentation, including new leases, renewals, amendments, and terminations, ensuring documentation is complete and properly filed
Coordinate tenant move-ins and move-outs in Yardi with accurate data entry and workflow updates
Partner with Client Accounting and Property Managers to support month-end processes, arrears reporting, and account accuracy
Respond to resident inquiries with timely, professional service across phone, email, and in-person interactions
Education
Diploma, degree, or certificate in Paralegal Studies, Legal Administration, Business Administration, Property Management, or a related field
Paralegal licence or legal training related to residential tenancy matters is considered an asset
Experience
3–5 years of experience in property administration, legal administration, paralegal support, residential tenancy matters, collections, or a related administrative role
Experience with arrears management, collections, tenant notices, tribunal preparation, or legal file management
Experience working in residential property management or a client-focused, third-party management environment is considered an asset
Experience with leasing documentation, move-in/move-out administration, tenant files, and property management workflows
Proven ability to manage deadlines, track documentation, and follow detailed processes with accuracy
Skills & Competencies
Strong understanding of residential tenancy administration, arrears processes, notices, and compliance-related documentation
Knowledge of the Residential Tenancies Act and property management best practices is preferred
Proficiency in Yardi is an asset and Microsoft Office, including Outlook, Word, and Excel
Strong attention to detail when preparing, reviewing, and maintaining legal or compliance-related documentation
Ability to balance legal/arrears-related tasks with general property administration responsibilities
