Job Description - Payroll & Benefits Specialist










This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Payroll & Benefits Specialist based in Canada.


This role is a critical part of a high-growth, multi-country organization responsible for ensuring employees are paid accurately and receive compliant, well-managed benefits across complex regulatory environments. You will oversee payroll and benefits operations spanning the United States, Canada, and the United Kingdom, where precision and compliance directly impact employee experience and legal risk. The position requires strong attention to detail, operational discipline, and the ability to manage multi-jurisdictional payroll cycles at scale. You will serve as a key point of contact for employees while ensuring seamless coordination between HR, Finance, and external vendors. This is a highly visible role where accuracy, responsiveness, and process rigor are essential. You will also contribute to onboarding and integration of newly acquired employees, shaping their first impression of the organization. Accountabilities:


In this role, you will own end-to-end payroll and benefits operations across multiple countries while ensuring accuracy, compliance, and a strong employee experience:



  • Process and maintain accurate payroll data across the US (including California), Canada, and the UK, including wages, bonuses, commissions, deductions, and PTO.

  • Prepare and validate weekly and semi-monthly payroll cycles, ensuring timely and compliant execution across all jurisdictions.

  • Perform payroll audits, reconciliations, and journal entry reviews to ensure data integrity and financial accuracy.

  • Manage year-end reporting and filings including W-2s, T4s, P60s, and other statutory requirements across regions.

  • Ensure compliance with jurisdiction-specific regulations, including California wage and hour laws, Canadian federal/provincial payroll requirements, and UK PAYE and National Insurance obligations.

  • Administer employee benefits programs across all three countries, including health plans, retirement programs, and statutory leave entitlements.

  • Reconcile benefits deductions and vendor invoices while supporting open enrollment and employee lifecycle changes.

  • Serve as the primary contact for employee payroll and benefits inquiries, ensuring timely and accurate resolution.

  • Support onboarding and payroll setup for acquired employees, ensuring seamless transitions and data integrity.

  • Maintain and improve payroll and benefits SOPs while supporting HRIS upgrades and process automation initiatives.


Requirements


This role requires strong technical payroll expertise across multiple jurisdictions, combined with a high level of accuracy, compliance awareness, and employee support capability:



  • 2+ years of payroll and benefits experience, including exposure to hourly and non-exempt employee populations.

  • Hands-on experience with payroll in California, including wage and hour laws, overtime rules, and final pay requirements.

  • Experience processing Canadian payroll, including CPP, EI, and provincial tax compliance.

  • Experience with UK payroll operations, including PAYE, National Insurance, and HMRC requirements.

  • Familiarity with payroll and HRIS systems such as Workday, ADP, or similar platforms.

  • Strong understanding of multi-country benefits administration, including retirement plans and statutory leave entitlements.

  • High attention to detail with strong organizational and reconciliation skills.

  • Ability to manage competing priorities in a fast-paced, high-growth environment.

  • Strong communication skills with the ability to support employees across multiple geographies.

  • Experience supporting payroll and benefits during mergers or acquisitions is a plus.

  • Payroll certification (e.g., FPC, CPP, or equivalent) is considered an asset.
