Payroll & Benefits Specialist

The role

IPH Limited is seeking a bilingual payroll and benefits specialist to join the Human Resources team on a part-time basis (20-25 hours/week). This role can be based out of any of our Smart & Biggar or ROBIC offices in Ottawa, Toronto, Montreal or Quebec. 

In this role, you will be responsible for the accurate and timely administration of payroll and employee benefits programs while ensuring compliance with applicable legislation, company policies, and best practices. Serving as a key point of contact for employees, you will provide support on payroll and benefits inquiries, maintain HRIS and payroll data integrity, collaborate with HR, Finance, and external providers, and contribute to the delivery of a positive employee experience. The ideal candidate combines strong analytical skills, a high level of accuracy, and a commitment to confidentiality with a proactive and customer-focused approach.

Job Responsibilities

Payroll 

• Process bi-weekly payroll and ensure accurate deductions


• Ensure payroll system accuracy and implement applicable controls and audits; assist with any system upgrades or modifications


• Prepare payroll documents including T4 slips, RL-1 slips, annual RL-1 Summary and ROEs


• Review time submissions for hourly employees to process appropriate payments


• Resolve issues and act as main point of contact for payroll related employee inquiries


• Work with the broader HR and finance teams to answer questions and provide necessary documentation


• Maintain accurate records and prepare different reports


• Update the HRIS to reflect necessary changes in pay including salary increases, unpaid leaves, promotions, etc.


• Keep up to date on statutory payroll changes and ensure compliance with relevant laws and internal policies

Benefits 

• Make additions, terminations and modifications to employee files for group insurance coverage


• Coordinate with insurance providers for any status changes or updates to employee benefits coverage


• Ensure compliance of deductions for all contributions including group benefits, RRSP, and pension plans


• Validate group insurance invoices issued and follow up on modifications


• Resolve issues and act as main point of contact for benefits related employee inquiries. 


• Manage disability claims in collaboration with insurance provider from first day of absence through to return-to-work


• Collaborate in the renewal process of employee benefits programs 

This is not an exhaustive list of responsibilities and there may be a requirement to carry out other tasks in accordance with the needs of the organization.

Knowledge & Experience

Knowledge & Experience

• Diploma or bachelor’s degree in accounting, payroll administration, or a related field; or a combination of relevant work experience and education


• 5+ years of experience in payroll and benefits administration


• Payroll Compliance Professional (PCP) or similar designation is considered an asset (not required)
  Bilingual: Strong oral and written communication skills in English and French are required as IPH has employees in Quebec


• Experience with DayForce is considered and asset


• Experience with Successfactors is considered an asset


• Proficient in MS Office Suite, particularly in Excel


• Demonstrated knowledge of Canadian payroll legislated government regulations


• Ability to multi-task and work in a fast-paced, high-volume environment


• Excellent attention to detail


• Excellent time management, organization, and prioritization skills


• Desire to provide exceptional client service and maintain a positive attitude


• Strong interpersonal skills and the ability to work effectively as part of a team
