Job Description - Payroll Specialist

Autoport Limited is looking for a Payroll Specialist at its facility located in Eastern Passage!


The Payroll Specialist is responsible for the accurate and timely processing of bi-weekly payroll and related activities across Canadian and U.S. operations. This role ensures full compliance with applicable legislation, supports payroll-related reporting and invoicing, and contributes to the continuous improvement of payroll processes that impact employee experience and organizational performance.



Major Responsibilities and Duties



  • Process end-to-end payroll for employees across two subsidiaries in Canada and the United States, ensuring accuracy, timeliness, and compliance with all applicable regulations.

  • Review, validate, and maintain payroll data and employee records, including hours worked, earnings, deductions, benefits, salary changes, and status updates.

  • Ensure compliance with all federal, provincial/state, and local payroll legislation, including the calculation and processing of statutory deductions (e.g., income tax, CPP/QPP, EI, and U.S. withholdings).

  • Reconcile payroll registers, investigate discrepancies, and resolve issues in a timely manner.

  • Process complex payroll transactions, including bonuses, retroactive pay, garnishments, and benefit adjustments.

  • Coordinate and complete monthly, quarterly, and year-end activities, including T4s and Relevé 1s (Canada) and W-2s (U.S.), ensuring accurate and timely filing.

  • Respond to employee and manager inquiries related to payroll, deductions, and policies across both countries in a timely and professional manner.

  • Partner with HR, Finance, and Benefits teams to ensure accurate data flow, reporting alignment, and audit readiness; support internal and external audits as required.

  • Support payroll system updates, implementations, and integrations, and contribute to the development and documentation of standardized payroll procedures across both subsidiaries.

  • Monitor payroll processes, stay current on legislative and tax changes in Canada and the United States, and provide reporting and analytics to support compliance, financial planning, and decision-making.



Qualifications and Requirements



  • Strong knowledge of payroll practices, accounting principles, and compliance requirements in Canada and the United States.

  • In-depth understanding of payroll legislation, tax regulations, and employment standards.

  • Proficiency with payroll systems (e.g. SAP, Dayforce) and HRIS platforms (e.g. BambooHR).

  • Advanced Excel and Microsoft Office skills, with the ability to analyze and reconcile data; knowledge of Power BI is considered an asset. 

  • High level of accuracy and attention to detail, with strong problem-solving capabilities.

  • Excellent communication skills, with the ability to handle sensitive and confidential matters.

  • Strong organizational skills with the ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.

  • Ability to work effectively both independently and in a team environment.

  • Bilingual proficiency in French (spoken and written) is considered an asset.



Education / Certification / Experience



  • A diploma or certificate in payroll administration.

  • Minimum of 4 years of progressive payroll experience working within multiple payroll and HRIS platforms.

  • An equivalent combination of education and work experience may be considered.

  • Payroll Compliance Practitioner and/or Certified Payroll Specialist designation is preferred.

  • Experience working within a unionized environment is preferred.
