Job Overview:
Volatus Aerospace is seeking a proactive and detail-oriented, Payroll Specialist to support our multi-entity, cross-border payroll operations. This role is based in Vaughan, Ontario and operates in a hybrid model (4 days in-office, 1 day remote).
The Payroll Specialist will be responsible for the end-to-end payroll process across Canadian and U.S. entities, ensuring accuracy, compliance, and timely processing. This role requires strong technical payroll knowledge, attention to detail, and the ability to work in a fast-paced, multi-jurisdictional environment.
Key Responsibilities:
- Own the end-to-end payroll process for assigned employee groups across Canada and the United States, ensuring payroll is processed accurately, on time, and in compliance with applicable legal and company requirements.
- Review and process payroll transactions related to hiring, compensation changes, variable pay, commissions, allowances, statutory leaves, terminations, final pay, and benefit or other deductions.
- Manage the day-to-day administration of the Company’s stock option and RSU programs, including recordkeeping, vesting, compliance, and related payroll taxation and reporting.
- Reconcile payroll registers, remittances, tax withholdings, benefit deductions, and general payroll reports, and investigate and resolve discrepancies in a timely manner.
- Support cross-border payroll administration by ensuring payroll inputs and employee data are correctly maintained for multiple jurisdictions and worker populations.
- Prepare payroll-related documentation and filings, including Records of Employment, year-end slips and summaries, audit support, and other payroll compliance materials.
- Serve as the primary HR payroll contact for employees and managers for payroll inquiries and issues.
- Work closely with HR to ensure payroll changes are aligned with offer letters, employment agreements, promotions, organizational changes, benefit enrollments, and leave administration.
- Collaborate with Finance on payroll funding, reconciliations, accrual support, reporting, and month-end or year-end payroll requirements.
- Help establish, document, and improve payroll procedures, controls, and reporting practices to support operational efficiency and compliance.
- Liaise with payroll providers and support the ongoing maintenance of payroll systems, including system updates, implementation activities, testing, and issue resolution.
- Contribute to jurisdictional readiness for future payroll expansion, including assisting with payroll processes and coordination for new jurisdictions such as the United Kingdom.
- Maintain strict confidentiality and handle sensitive employee data with a high degree of accuracy, discretion, and professionalism.
Requirements
- 3–5+ years of payroll processing experience, preferably in a multi-jurisdiction environment
- Strong knowledge of Canadian payroll, including applicable payroll legislation, statutory deductions, and compliance requirements
- Experience processing U.S. payroll, with a solid understanding of applicable payroll practices and compliance requirements
- Experience working in a public company environment, including hands-on responsibility for the administration of equity compensation programs such as stock options and RSUs.
- Exposure to UK and/or European payroll is considered an asset
- Hands-on experience with Dayforce is preferred; experience with BambooHR or other HRIS/payroll systems is also required
- Strong knowledge of payroll legislation, tax regulations, remittances, year-end reporting, and payroll compliance obligations
- High level of accuracy, attention to detail, and strong analytical and problem-solving skills
- Ability to manage multiple priorities, work under pressure, and meet strict deadlines

Hours of Work, Work Environment and Potential Travel
- Standard workweek of 40 hours from Monday to Friday
- This is a hybrid role, requiring four days in the office and permitting one remote workday per week.
- Occasional flexibility may be required to support time-sensitive business needs and payroll activities.
