Job Title:  Pre- Practicum Services Associate





Purpose


 


The Pre-Practicum Services Associate plays a key role in preparing students for their practicum by ensuring they meet all program-specific eligibility requirements. The position supports students throughout the pre-practicum process by verifying documentation, monitoring compliance, communicating important deadlines, and coordinating with internal departments. The associate helps maintain accurate records and ensures students are fully prepared to transition into their practicum placements in accordance with institutional and regulatory requirements. 



Responsibilities


  



  • Maintain and update pre-practicum eligibility lists for students across applicable programs. 



  • Verify completion of academic prerequisites, including required courses and minimum grade requirements. 



  • Ensure the submission and verification of required documentation, such as medical forms, criminal record checks, and other compliance documents. 



  • Track and monitor student compliance with practicum requirements and report outstanding or incomplete items. 



  • Communicate deadlines, requirements, and updates related to practicum preparation to students in a timely manner. 



  • Coordinate with academic departments and practicum coordinators to support student readiness for placements. 



  • Monitor and confirm orientation of attendance and completion of required theory courses prior to practicum placement. 



  • Review student status documentation, including study permits, co-op work permits, and other immigration-related requirements when applicable. 



  • Verify completion of required certifications and training such as NVCI, POPARD, Mandt, and WHMIS. 



  • Conduct BHM program Co-op work permit reviews to ensure students meet eligibility criteria. 



  • Collaborate with the Admissions team to provide pre-enrollment awareness regarding practicum requirements. 



  • Manage and respond to common departmental email inboxes, ensuring timely responses to student inquiries. 



  • Maintain organized and accurate student records and documentation related to pre-practicum compliance. 



  • Other duties assigned by the management. 



Requirements

  • Excellent organizational and time-management skills with the ability to multitask effectively.   



  • Strong written and verbal communication skills, with attention to detail.  



  • Proficiency in using Microsoft Office and technology.  



  • Professionalism and ability in handling confidential information.  



  • Flexibility and adaptability to meet changing demands and priorities. Ability to anticipate needs, prioritize tasks and meet deadlines.  



  • Strong interpersonal skills and the ability to work collaboratively in a team-oriented environment. 



Education and Experience




  • Business diploma or equivalent  



  • Two to three years of experience in an office environment
