Job Description - Privacy Compliance Officer

The Law Society of BC is seeking a permanent, full-time Privacy Compliance Officer in our Information & Privacy department. This position works with all departments with respect to privacy incident response, compliance duties and special projects, as well as providing training for employees. The Privacy Compliance Officer also builds and improves the existing Privacy program at the Law Society of BC.

The duties of this position include:
Compliance Duties/Efforts

  • Provide leadership for the organization’s privacy program.
  • Develop, regularly review and update processes and procedures to encourage compliance with the Law Society’s protection of privacy and anti-spam obligations under legislation, regulation and policies.
  • Bring privacy compliance issues to the attention of the Manager, Privacy, Records and Information Management, Director, Governance, Privacy & Information Management, Chief Executive Officer, Senior Leadership Team and Directors/Managers.
  • Monitor the Law Society’s compliance with privacy obligations and propose updates as appropriate by carrying out special projects, such as a review of the Law Society’s disclosure and privacy practices.
  • Assist as required in reviewing Information Protection Agreements and Schedules to ensure consistency with privacy law requirements.
  • Assist with the development of Information Sharing Agreements between the Law Society and other organizations, as required.
Employee Training
  • Develop and deliver an annual privacy awareness and training program for staff to increase employee understanding of the Law Society’s privacy policy, information handling practices and procedures, and legal obligations.
  • Conduct ongoing privacy awareness and training activities, such as regular (annual) updates, regular communication about privacy concerns and other guidance materials.
  • Assist with the delivery of privacy awareness training as part of the orientation process for new employees.
Build & Improve the Privacy Program
  • Maintain, review and update as appropriate the Law Society’s organization-wide Privacy Impact Assessment process and procedures to ensure the development of new products and services is consistent with the Law Society’s privacy policies and legal obligations. This includes assisting staff with the completion of Privacy Risk Management Checklists and Privacy Impact Assessments.
  • Communicate with Office of Information and Privacy Commissioner, responding to privacy complaints and reporting privacy breaches.
  • Work with departments and senior management to advocate for best practices in privacy protection and data security issues.
  • Provide advice and information on privacy issues.
  • Draft policy and perform regular reviews and updates.
  • Review and update forms to ensure appropriate collection notices are included.
  • Review and update contract provisions to ensure compliance with privacy and security obligations under legislation and to reduce risk.
  • Liaise with IT and operations, management and staff to ensure both existing and new services comply with privacy and security obligations for the protection of personal information.
  • Liaise with communications and other staff concerning public disclosure of personal information (e.g., website postings and news releases).
  • Back up and assistance for the Information and Privacy Officer as necessary. Such other duties as the Manager, Privacy, Records and Information Management, Director, Governance, Privacy & Information Management and/or Chief Executive Officer may require.
Incident Response
  • Mitigate effects of an unauthorized use or disclosure of personal information by employees or service providers.
  • Develop, implement and monitor the effectiveness of prevention strategies.
  • Review and respond to all complaints concerning the Law Society’s privacy policies and procedures.
Qualifications
  • University degree in related field or completion of recognized paralegal program.
  • Five years of related work experience, preferably in a legal setting.
  • Advanced knowledge of privacy legislation and its application, particularly in the context of modern software and technology.
  • Ability to research, interpret and apply legislation and case law.
  • Ability to communicate effectively, both orally and in writing with management, staff and outside bodies and individuals.
  • Ability to work effectively under pressure, both independently and in a team environment.
  • Ability to assert organizational requirements proactively, but tactfully and effectively, to management and staff at all levels
The salary range for this position is $84,422 to $91,763.
