The Role
As a Procurement Coordinator, you will play a key role in supporting the Procurement Manager in overseeing all procurement and purchasing activities across Bronte’s project portfolio. You will be responsible for vendor and subcontractor coordination, bid support, contract administration, and maintaining procurement records — ensuring our projects are resourced efficiently and in compliance with Bronte’s Procurement Policies and Procedures. We are looking for a detail-oriented individual with strong organizational skills and a collaborative mindset to contribute to our team’s success.
Responsibilities
Supporting procurement operations and purchasing coordination
Vendor and subcontractor prequalification and relationship management
Bid coordination, contract administration, and compliance documentation
Accountable for maintaining accurate and audit-ready procurement records
A day in the life
Support the Procurement Manager in managing daily procurement and purchasing tasks, including assisting with staff coordination and performance evaluations as needed
Assist in the subcontractor and supplier prequalification process, maintaining accurate records and documentation
Help maintain the master subcontractor and supplier list (Approved Vendor List), ensuring information is up-to-date and accessible
Communicate regularly with subcontractors and suppliers to monitor market competitiveness and project workload capacities
Collaborate with Estimating and Operations teams to support bidding strategies, competitive bid assemblies, and proposal documentation
Support the bid, negotiation, and award processes by preparing documentation, receiving bids, and assisting in scope review meetings
Draft Purchase Orders in Jonas and maintain procurement records in Smartsheets for transparency and audit readiness
Assist in preparing and issuing subcontracts, tracking the completion of project-specific items, and ensuring timely execution of necessary documents
Maintain organized records of insurance certificates, bonds, and other relevant compliance documentation
Support the review and analysis of Capital Project tenders and contract documents to ensure appropriate contractual clauses are applied
Participate in the examination of plans and specifications to identify construction issues and technical questions, escalating concerns as necessary
Identify potential procurement risks and report findings to the Procurement Manager to develop mitigation strategies
Support project teams with documenting, evaluating, and processing change requests as directed
Assist in establishing and maintaining procurement schedules, working closely with project staff
Promote Bronte’s standards of safety, Quality Assurance/Quality Control (QA/QC), ethics, and core values
Effectively communicate in writing and orally with subcontractors, suppliers, and internal project teams
Requirements
Post-secondary diploma or degree in Supply Chain Management, Business Administration, Construction Management, or a related field
1–3 years of experience in procurement, purchasing, or supply chain coordination, preferably within construction or the ICI sector
Familiarity with procurement software systems (e.g., Jonas, Smartsheets) and Microsoft Office Suite
Ability to read and interpret construction plans, specifications, and contract documents
Must have excellent organizational, administrative, communication, and interpersonal skills
Must have excellent Critical Thinking and Problem-Solving skills
Ability to work both independently and collaboratively with minimal supervision
A detail-oriented professional, highly motivated to contribute to the overall success of assigned projects
Professional designation or certification (e.g., SCMP, CSCMP, Gold Seal Certified) is an asset
OHSA-related training (e.g., Working at Heights, WHMIS) or willingness to obtain is an asset
